Job Title: Shipping and Receiving Clerk
Job Description
The Shipping and Receiving Clerk coordinates and executes all daily shipping and receiving activities within a warehouse office environment. This role manages orders in SAP and internal systems, prepares and processes all shipping documentation, schedules inbound and outbound deliveries, and serves as the primary contact for drivers at the shipping window. The position plays a key role in ensuring accurate, compliant, and on-time shipments while supporting production, logistics, and safety requirements.
Responsibilities
Coordinate daily shipping and receiving activities using SAP and internal order management systems to ensure accurate processing of customer, intercompany, and military orders.
Process all outbound and inbound shipping documentation, including pick tickets, Bills of Lading (BOL), Certificates of Analysis (CoA), labels, shipping packets, and required compliance paperwork.
Confirm and close out orders in SAP once picking, staging, and shipment activities are completed.
Prepare and assemble shipping labels and documentation packets for daily outbound orders to ensure on-time and compliant shipments.
Coordinate and process drum fill orders, including daily production scheduling, order entry, and shipment confirmation.
Create and manage purchase orders for customer fills as required.
Approve, schedule, and manage all military shipments, including daily order approvals, carrier coordination, compliance documentation, and pre-shipment packet preparation.
Receive carrier information from electronic shipping tools, prepare military shipment paperwork, and coordinate next-day less-than-truckload (LTL) carrier pickups.
Approve, track, and coordinate production for specific customer orders, including scheduling shipments and providing shipment photos and documentation as required.
Schedule all LTL pickups and deliveries for outbound shipments and coordinate transportation for container and non-military orders.
Approve orders and generate pick tickets daily to support warehouse and production operations.
Schedule all inbound and outbound deliveries to align with production schedules, carrier availability, and customer delivery windows.
Serve as the front-line shipping window contact by checking drivers in and out, verifying load information, and ensuring proper documentation is issued before departure.
Prepare and distribute complete shipment packets to drivers, including BOLs, CoAs, labels, and any required regulatory or customer documentation.
Perform daily scanning, filing, and electronic record retention of shipping and receiving documentation to maintain compliance and audit readiness.
Process stock transfer orders between facilities and receive prefills and transfer orders into SAP and internal systems.
Maintain and update daily operational spreadsheets and reports, including key performance indicators (KPIs), truck schedules, and daily production and shipping reports.
Communicate shipping, production, and product issues through Microsoft Teams and coordinate resolution with operations, production, and logistics teams.
Monitor shipment status and proactively address scheduling conflicts, production delays, documentation issues, and transportation challenges to minimize disruptions.
Support site safety, Department of Transportation (DOT) compliance, and company policies by ensuring all shipping activities meet regulatory and internal requirements.
Provide courteous and effective customer service to internal and external stakeholders regarding shipping and receiving activities.
Assist with inventory-related documentation and use scanners and other warehouse tools to support accurate inventory and shipment tracking.
Essential Skills
Proficiency in SAP or similar enterprise resource planning (ERP) systems for order entry, shipment confirmation, and stock transfer processing.
Strong computer skills, including experience with Microsoft Office and Microsoft Excel for maintaining spreadsheets, reports, and documentation.
Experience with shipping and receiving operations in a warehouse environment, including LTL and container shipments.
Ability to prepare and manage shipping documentation such as Bills of Lading, Certificates of Analysis, labels, and compliance paperwork.
Competence in scanning, filing, and electronic record retention to support documentation control and audit readiness.
Knowledge of logistics and basic inventory processes, including stock transfers between facilities.
Effective communication skills to collaborate with production, operations, logistics teams, carriers, and drivers.
Ability to provide reliable customer service to internal and external stakeholders.
Capability to monitor shipment status and resolve scheduling, documentation, and transportation issues promptly.
Attention to detail and accuracy in data entry and documentation.
Punctuality and reliability in meeting daily shipping and receiving schedules.
Additional Skills & Qualifications
Familiarity with DOT compliance and safety practices related to shipping activities.
Experience using Microsoft Teams or similar collaboration tools to communicate operational issues.
Comfort working with KPIs, truck schedules, and production/shipping reports.
Ability to work effectively in a fast-paced warehouse office environment with changing priorities.
Strong organizational skills for managing multiple orders, schedules, and documentation packets simultaneously.

Pay and Benefits
The pay range for this position is $17.00 - $17.00/hr.
