Description We are looking for a dependable Administrative Assistant to provide on-site support for a Foundation & Alumni Relations team in Pennsylvania. This long-term contract position is well suited for someone who enjoys balancing office coordination, accurate record handling, and responsive service in a focused, mission-driven setting. The role offers the opportunity to contribute to daily operations while helping the department stay organized, efficient, and well supported.

Responsibilities:

Provide day-to-day administrative support to the Foundation & Alumni Relations department, ensuring office activities run smoothly and efficiently.

Maintain and update donor, alumni, and departmental records with a strong focus on accuracy, completeness, and confidentiality.

Draft and format letters, reports, and other business documents using Microsoft Office applications.

Assist with large-scale communications by preparing mail merges, organizing materials, and supporting document distribution.

Handle document management tasks such as filing, scanning, copying, and maintaining organized records.

Use standard office equipment, including printers, copiers, and scanners, to support routine departmental needs.

Coordinate calendars, scheduling, and general office logistics to help keep priorities on track.

Contribute to special projects and additional administrative assignments as department needs evolve. Requirements - Prior experience in an administrative assistant, office support, or similar clerical role.

Strong data entry skills with a high level of accuracy and close attention to detail.

Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.

Ability to prepare clear and effective correspondence and support mail merge activities.

Effective written and verbal communication skills for interacting with internal and external contacts.

Strong organizational skills with the ability to manage multiple tasks and deadlines.

Experience with front desk, receptionist, or inbound call support is helpful.

Exposure to bookkeeping, donor databases, higher education, nonprofit, or fundraising environments is preferred. TalentMatch®
