Job Title: Administrative Support - Human Resources
Job Description
This role provides dedicated administrative and filing support to the Human Resources function, ensuring HR records are accurately organized, maintained, and prepared for audits and retention processes. You will manage physical HR documentation, support data privacy and confidentiality requirements, and collaborate with the HR team to keep all records audit-ready and compliant with company policies and employment law.
Responsibilities
Sort, label, and file physical HR documents in accordance with established annual file review processes.
Organize and consolidate HR files and prepare documentation for offsite retention processes.
Create and maintain master files for all HR records to ensure clear, comprehensive documentation.
Identify files that are due for retention action, including archiving, secure destruction, or continued retention based on the company's retention schedule.
Prepare HR files for archiving or secure disposal in compliance with company policy.
Apply retention labels to HR records according to established retention schedules.
Assist in identifying records that have met their retention period and require secure destruction.
Lead and support the HR team in maintaining audit-ready documentation and organized file systems.
Perform accurate data entry and clerical tasks related to HR administration and record keeping.
Use Microsoft Office tools to track, organize, and report on filing and document management activities.
Follow all applicable data privacy and confidentiality guidelines, including company policies and employment law requirements.
Communicate clearly and professionally with HR colleagues and other stakeholders regarding documentation needs and processes.
Support basic project planning activities related to document organization and filing initiatives.
Essential Skills
At least 1 year of experience in filing, coordination, or HR administration.
Hands-on experience with document organization and physical filing of records.
Proficiency with Microsoft Office Suite (such as Word, Excel, and Outlook).
Strong data entry skills with attention to accuracy and detail.
Experience providing administrative support within a human resources or clerical environment.
Ability to follow and apply data privacy and confidentiality guidelines, including company policy and employment law requirements.
Strong communication skills, both written and verbal.
Ability to organize and maintain HR documentation and records in a structured, audit-ready manner.
Additional Skills & Qualifications
Experience in HR administration or HR support roles.
Background in human resources, data entry, and general administrative support.
Clerical experience in a fast-paced environment.
Auditing experience related to documentation or record retention (nice to have).
Project planning skills, especially for organizing filing and documentation projects (nice to have).
Work Environment
This position is based at a Michigan Assembly Plant and supports the on-site Human Resources team. The role follows a standard Monday through Friday schedule, typically from 8:00 AM to 4:30 PM. You will work in a plant-based office environment with access to standard office equipment and Microsoft Office tools, handling physical HR files and records on a regular basis. The setting requires careful attention to confidentiality and secure handling of documents, with a professional office dress code appropriate for a manufacturing plant HR office.

Pay and Benefits
The pay range for this position is $20.71 - $22.78/hr.
