Job Summary
BMC2 is a collaborative consortium dedicated to improving the quality of care and outcomes in patients who undergo cardiovascular procedures across the State of Michigan. BMC2 is developing a new heart failure registry, which will take a population health-based approach to measuring outcomes and improving quality of care for patients with heart failure. The new registry will bring together diverse stakeholders including patients, specialists, primary care physicians, and pharmacists. Support for BMC2 is provided by Blue Cross and Blue Shield of Michigan and Blue Care Network as part of the BCBSM Value Partnerships Program.
BMC2 is seeking an Administrative Coordinator to provide administrative, operational, and event support in a dynamic and collaborative environment to support this new initiative entitled BMC2-HF.
The successful candidate will be highly organized, detail-oriented, and able to manage multiple priorities with initiative, sound judgment, follow-through, and diplomacy. This role requires strong communication skills, professionalism, and a commitment to supporting a welcoming and inclusive environment.
This role will report to the BMC2 Administrative Manager and supports the daily operations of the unit and works closely with internal staff, senior leaders, external partners and current members of the BMC2 team. This role will help shape the strategic direction of the initiative while supporting day-to-day operations as the program matures.
Responsibilities*
Administrative and Operational Support
Provide administrative support for the daily operations of BMC2.
Assist with expense tracking, routine purchasing, reimbursements, invoice processing, and payment collection.
Maintain purchasing and financial documentation, including receipts, order confirmations, packing slips, and other materials needed for reconciliation and recordkeeping.
Support University of Michigan best practices related to administrative processes, payments, and operational procedures.
Monitor office equipment and shared spaces; submit service requests as needed.
Manage conference room reservations and scheduling support, including approving routine requests, placing reservations, and identifying alternate room options as needed.
Provide logistical support for department activities and events.
Maintain accurate records, schedules, documentation, and follow-up items.
Handle sensitive or confidential information appropriately.
Identify and suggest opportunities to improve administrative processes and increase efficiency.
Perform other duties as assigned.
Conferences, Meetings, and Events
Provide administrative support for virtual and in-person meetings, including scheduling, agenda preparation, meeting materials, minutes, and follow-up items.
Provide day-of event support, including greeting guests, assisting with room setup, supporting hybrid/Zoom logistics, and troubleshooting routine issues.
Coordinate conference room reservations, visitor support, event communications, and meeting logistics.
Prepare materials and coordinate with internal and external partners to support department events.
Required Qualifications*
Associates or bachelors degree with 3-5 years of administrative, office, or related experience, or an equivalent combination of education and relevant experience.
Strong organizational, recordkeeping, and detail-oriented skills, with the ability to manage multiple priorities, deadlines, and assignments accurately and efficiently.
Excellent written, verbal, and interpersonal communication skills, with the ability to interact professionally with faculty, staff, leadership, vendors, visitors, and internal/external partners.
Strong customer service orientation, sound judgment, initiative, and the ability to work both independently and collaboratively in a positive team environment.
Proficiency with common office tools and systems, including Microsoft Office, Outlook calendars, Google/shared documents, and email platforms, with the ability to quickly learn new technologies and handle confidential information appropriately.
Desired Qualifications*
Working knowledge of University of Michigan policies, procedures, systems, or administrative processes.
Experience in higher education, an academic setting, health care, or another complex administrative environment.
Experience providing administrative support in areas such as event logistics, room reservations, visitor support, meeting coordination, purchasing, reimbursements, invoice processing, financial documentation, and hybrid/virtual meeting platforms such as Zoom.

Work Locations
The position is hybrid, with both remote and in-person responsibilities. Some weekend travel and possible overnight stay within the state of Michigan may be required.
