Position Summary
The Senior Administrative Assistant provides advanced administrative support to leadership and departmental teams while coordinating office operations, scheduling, communications, events, and special projects. This role requires exceptional attention to detail, discretion when handling confidential information, and the ability to anticipate needs and proactively solve problems.
The successful candidate will serve as a key resource for internal and external stakeholders, helping ensure efficient operations and an exceptional level of service.
Key ResponsibilitiesAdministrative & Executive Support
Provide high-level administrative support to department leadership and team members.
Manage complex calendars, meeting schedules, and appointments.
Coordinate domestic and international travel arrangements, itineraries, and expense reporting.
Prepare, edit, proofread, and distribute correspondence, reports, presentations, and other business documents.
Screen and prioritize communications, inquiries, and requests.
Meeting & Event Coordination
Organize and coordinate meetings, conferences, workshops, and special events.
Prepare meeting agendas, materials, presentations, and minutes.
Reserve meeting space and coordinate logistics, catering, technology, and guest accommodations.
Support both in-person and virtual meetings, including video conferencing and presentation setup.
Operations & Project Support
Maintain departmental databases, records, filing systems, and distribution lists.
Track projects, deadlines, and key deliverables to ensure timely completion.
Assist with purchasing, reimbursement requests, invoices, and expense tracking.
Support special projects and departmental initiatives as assigned.
Recruitment & Onboarding Support
Coordinate interview schedules and candidate communications.
Arrange travel and logistics for applicants and visitors.
Assist with onboarding activities and department orientation processes.
Communication & Customer Service
Serve as a primary point of contact for faculty, staff, patients, visitors, vendors, and community partners.
Provide professional, responsive customer service and problem resolution.
Maintain confidentiality when handling sensitive information and communications.
QualificationsRequired
Associate's degree or equivalent combination of education and experience.
3+ years of progressively responsible administrative support experience.
Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
Exceptional organizational, time management, and multitasking skills.
Strong verbal and written communication abilities.
Demonstrated ability to manage confidential information with professionalism and discretion.
Proven ability to prioritize competing demands in a fast-paced environment.
Strong attention to detail and commitment to accuracy.
Preferred
Bachelor's degree.
Experience supporting Senior leaders, physicians, faculty, or executive-level professionals.
Experience within healthcare, higher education, research, or other complex organizational environments.
Familiarity with SharePoint, database management, and virtual collaboration platforms.

Pay and Benefits
The pay range for this position is $28.00 - $32.00/hr.
