JOB DESCRIPTION
The Accounting & Human Resources Assistant is responsible for supporting the financial, payroll, human resources, and administrative operations of the Center for Independence (CFI). This position manages day-to-day accounting transactions, maintains accurate financial records, assists with grant and contract reporting, supports payroll and employee records administration, and provides administrative support to ensure the efficient operation of the organization.
This position requires a highly organized, detail-oriented professional with experience in nonprofit accounting, human resources administration, payroll processing, and compliance with federal, state, and organizational policies. The Accounting & Human Resources Assistant works closely with the Business Manager, leadership team, and program staff to support the agency's mission and operational excellence.

ESSENTIAL DUTIES
Accounting & Finance**
Prepare vendor invoices and payment requests, and obtain required approvals while ensuring proper account coding.
Process accounts payable and accounts receivable transactions accurately and timely using QuickBooks.
Prepare customer invoices and monitor outstanding receivables.
Assist with monthly bank, credit card, and account reconciliations.
Maintain accounting records in accordance with Generally Accepted Accounting Principles (GAAP), organizational policies, and grant requirements.
Assist with monthly and annual financial reporting.
Assist with preparation of grant financial reports and supporting documentation.
Support annual audits by preparing requested schedules and documentation.
Assist in maintaining internal financial controls and compliance with federal, state, and nonprofit accounting requirements.
Work collaboratively with fee-for-service programs to improve billing, collections, financial tracking, and operational efficiency.
Maintain financial files and records according to record retention policies.
Human Resources
Assist with recruitment activities, including posting positions, scheduling interviews, and maintaining applicant files.
Coordinate employee onboarding and offboarding processes.
Prepare new hire paperwork and maintain personnel files.
Assist with employee benefits enrollment and changes.
Maintain confidential employee records in compliance with employmentlaws.
Support payroll preparation and coordinate payroll processing through Paychex.
Track employee leave, PTO, and attendance records.
Assist with annual performance evaluation processes.
Help maintain HR policies, procedures, and employee handbook updates.
Coordinate required background checks, driver's license verification, and required certifications.
Assist with staff training records and compliance documentation.
Administrative Support
Assist administration with meetings, events, filing, scanning, mailing, purchasing, and general office operations.
Maintain office files and electronic document management systems.
Answer questions regarding administrative and financial procedures.
Complete monthly reports and other recurring administrative tasks.
Assist with special projects as assigned.
General Responsibilities
Maintain strict confidentiality regarding all financial, employee, consumer, volunteer, donor, board member, and organizational information.
Demonstrate an understanding of Independent Living Philosophy and effectively communicate CFI's mission, vision, and services.
Represent CFI professionally with consumers, vendors, community partners, and stakeholders.
Participate in staff meetings, department meetings, training, and professional development.
Work independently while recognizing when supervisor approval or guidance is required.
All CFI employees are mandatory reporters and are required to report suspected abuse or neglect in accordance with Colorado law and agency policy.
Perform other duties as assigned.
QUALIFICATIONS / REQUIREMENTS
Minimum of two (2) years of bookkeeping, accounting experience, payroll, or human resources experience.
Must have knowledge of bookkeeping principles, including fund accounting, grant reporting, and donor-restricted funds.
Proficiency in QuickBooks.
Good organizational skills with strong attention to detail. Knowledge of nonprofit accounting principles, including fund accounting and grant compliance.
Experience with Accounts Payable, Accounts Receivable, payroll processing, and account reconciliations.
Proficiency with QuickBooks.
Experience using Microsoft Office (Word, Excel, Outlook), Google Workspace, and web-based software systems.
Excellent organizational skills and exceptional attention to detail.
Strong written and verbal communication skills.
Ability to prioritize multiple projects while meeting deadlines.
Ability to maintain strict confidentiality and exercise sound judgment.
Demonstrated customer service and interpersonal skills.

PREFERRED QUALIFICATIONS:
Bachelor's degree in Accounting, Finance, Human Resources, or Business Administration.
Experience with nonprofit organizations.
Experience with federal grants and contract accounting.
Experience with Paychex payroll and HR systems.
Experience administering employee benefits.
Experience supporting audits.
Knowledge of federal employment regulations, including FLSA, FMLA, ADA, COBRA, HIPAA, and Colorado employment law.
Personal experience with disability or demonstrated knowledge of Independent Living philosophy.
Bilingual (English/Spanish) is a plus.
