Administrative Assistant / Operations Coordinator

Schedule: Monday-Friday, 7:00 AM-4:00 PM (Onsite)
About the Opportunity
We are seeking a highly organized and analytical Administrative Assistant / Operations Coordinator to join our team in Lenexa, Kansas. This role is ideal for someone who enjoys balancing traditional administrative responsibilities with operational support, business analysis, planning, and coordination activities.
As a key member of the administrative team, you will support both office staff and field operations by coordinating schedules, analyzing business information, assisting with project-related activities, and serving as a central point of communication for employees, contractors, vendors, and customers. The successful candidate will thrive in a fast-paced environment, manage multiple priorities effectively, and contribute to the success of essential utility operations.
You will work alongside three other Administrative Assistants in a collaborative and supportive office environment.
Key Responsibilities
Provide administrative and operational support to management, field technicians, and office personnel.
Coordinate planning and scheduling activities to support field operations and service delivery.
Perform business analysis and reporting activities using Microsoft Excel and other business systems.
Support project coordination efforts, including tracking timelines, deliverables, and documentation.
Process and maintain records, reports, correspondence, and operational documents.
Assist with vendor communications, purchase orders, budget tracking, and related administrative functions.
Respond to inquiries from internal employees, contractors, municipalities, customers, and business partners in a professional and timely manner.
Maintain accurate data within ERP and business management systems.
Prioritize and manage multiple assignments while meeting deadlines and changing business needs.
Identify opportunities for process improvements and operational efficiencies.
Collaborate with team members to ensure seamless support across office and field operations.
Required Qualifications
High school diploma or GED required; Associate degree preferred.
Three (3) or more years of experience in one or more of the following areas:
Administrative support
Operations coordination
Planning and scheduling
Business analysis
Project coordination
Utility, construction, engineering, or public works environments
Strong proficiency in Microsoft Office Suite, particularly:
Excel
Outlook
Word
Experience supporting managers or operational teams while coordinating multiple priorities.
Excellent organizational, time management, and multitasking skills.
Strong written and verbal communication abilities.
Demonstrated analytical thinking, problem-solving, and decision-making skills.
Ability to work independently and proactively in a dynamic environment.
Experience working with ERP systems or business software platforms such as SAP, Oracle, JD Edwards, or similar systems.
Ability to communicate professionally and effectively with a diverse group of stakeholders.
Preferred Qualifications
Experience utilizing SAP.
Experience processing or coordinating purchase orders.
Previous experience in utility, public works, engineering, or construction-related organizations.
Exposure to budgeting, vendor management, and operational reporting.

Pay and Benefits
The pay range for this position is $27.00 - $30.00/hr.
