Job Title: Accounting Assistant
Job Description
This Accounting Assistant position provides essential administrative and accounting support to ensure smooth office and plant operations. The role combines accounts payable processing, invoice reconciliation, receptionist duties, and general clerical tasks. You will help maintain accurate financial records, support daily production reporting, and deliver professional front desk and customer service to visitors, vendors, and internal teams.
Responsibilities
Process and code invoices accurately, ensuring proper matching of invoices to purchase orders and receiving documentation.
Verify invoice accuracy, obtain required approvals, and maintain complete invoice records and accounts payable files.
Reconcile account balances and raw material transactions to support accurate financial reporting.
Prepare and distribute daily production reports and related invoicing in a timely manner.
Review vendor statements regularly and resolve outstanding items or discrepancies.
Maintain documentation and records related to internal controls and compliance requirements.
Process daily shipping tickets and related documentation to support plant operations.
Serve as the primary point of contact for visitors and incoming phone calls at the front desk.
Greet guests in a professional and courteous manner while providing exceptional customer service.
Direct calls to the appropriate individuals, take accurate messages, and ensure timely follow-up.
Coordinate maintenance and repair of office equipment as needed to minimize downtime.
Maintain clean, organized, and presentable common areas and meeting rooms.
Sort and distribute incoming and outgoing mail to the appropriate departments or individuals.
Maintain filing systems and office records to ensure information is organized and easily accessible.
Order and monitor office supplies to ensure adequate inventory levels.
Assist with copying, reporting, and preparation of documents and presentations.
Coordinate catering and logistical support for plant events, meetings, and gatherings.
Provide backup support for other office personnel during absences or peak workloads.
Perform additional administrative duties as assigned to support overall office and plant efficiency.
Essential Skills
High school diploma or equivalent.
Strong attention to detail with the ability to maintain accuracy in daily tasks.
Solid organizational skills and the ability to manage multiple priorities.
Basic math skills for handling invoices, reconciliations, and financial data.
Proficiency with computers and office software, including spreadsheets and data entry tools.
Effective verbal and written communication skills for interacting with visitors, vendors, and colleagues.
Ability to work independently and take initiative in a fast-paced environment.
Customer-focused mindset with professional communication and interpersonal skills.
Experience handling confidential information with discretion and professionalism.
Additional Skills & Qualifications
1 year of experience in accounts payable, accounting, administrative, or office support roles (preferred).
Experience with accounts payable processes, including invoice processing and coding.
Data entry experience with a focus on accuracy and efficiency.
Familiarity with spreadsheet tools such as Excel for reporting and reconciliation tasks.
Previous experience working in an office or plant environment providing administrative support.
Demonstrated time-management skills and the ability to meet deadlines.
Comfort working with financial documents, vendor statements, and production reports.
Work Environment
This role operates in an office and plant environment where you will support both administrative and production-related activities. You will work at a front desk and in an office setting using computers, office software, and standard office equipment such as phones, printers, copiers, and scanners. The position involves regular interaction with visitors, vendors, and internal team members, requiring a professional and courteous demeanor. You will handle physical files, mail, and office supplies, and may move between office areas and plant spaces to coordinate reports, shipping tickets, and events. The work environment is fast-paced and detail-oriented, with an emphasis on organization, accuracy, and maintaining clean, orderly common areas and meeting rooms.

This is a Contract to Hire position based out of Louisville, NE.
Pay and Benefits
The pay range for this position is $23.00 - $26.00/hr.
