Job Title: Administrative Assistant
Job Description
The Administrative Assistant provides high-level administrative and reception support at a busy onsite facility. This role manages front-of-house operations, including phone calls, walk-in visitors, badge management, and deliveries, while also handling general office tasks, maintaining records, and supporting information requests. The position requires strong organizational skills, professional communication, and the ability to work independently in a fast-paced environment.
Responsibilities
Manage reception and front-of-house operations, including greeting walk-in visitors and providing a professional first point of contact.
Answer and route phone calls promptly and courteously, ensuring inquiries reach the appropriate person or department.
Oversee visitor badge management, including issuing, tracking, and collecting badges in accordance with site procedures.
Receive, log, and distribute deliveries and mail to the appropriate recipients in a timely manner.
Perform general office duties such as ordering office supplies and coordinating lunch orders when needed.
Maintain records management systems to ensure information is organized, accessible, and up to date.
Handle information requests and provide accurate, timely responses or referrals to the appropriate resources.
Perform clerical functions including document preparation, data entry, filing, and basic correspondence.
Use computer applications such as Microsoft Word, Excel, PowerPoint, Famis 360, and Google Suite to support daily administrative tasks.
Protect sensitive information by maintaining confidentiality and following established privacy practices.
Prioritize and manage multiple tasks simultaneously while meeting deadlines and service expectations.
Work independently to organize daily workload, manage time effectively, and ensure smooth office operations.
Essential Skills
2-4 years of experience in administrative assistance or reception roles.
Strong verbal and written communication skills to interact professionally with visitors, callers, and colleagues.
Proven ability to multi-task and manage competing priorities in a busy office environment.
Customer service skills with a friendly, professional, and helpful approach to internal and external stakeholders.
Interpersonal skills to build positive working relationships and collaborate effectively with others.
Ability to work independently and manage one's time with minimal supervision.
Ability to keep information organized, accurate, and easily accessible.
Demonstrated ability to maintain confidentiality and handle sensitive information appropriately.
Previous experience using Microsoft Word, Excel, and PowerPoint for everyday administrative tasks.
Previous experience using Famis 360 and Google Suite (e.g., Gmail, Calendar, Drive, Docs, Sheets).
High school diploma or GED.
Additional Skills & Qualifications
Experience providing front desk or front-of-house reception services in a corporate or office environment.
Administrative support that includes records management and clerical functions.
Comfort with learning and using new office technologies, software, and systems.
Attention to detail and accuracy in documentation, scheduling, and recordkeeping.
Professional demeanor and reliability in representing the organization to visitors and callers.
Work Environment
This is a fully onsite position in a professional office environment. The role is based at a corporate facility with a dedicated reception area and front-of-house operations. You will work with standard office technologies and software, including Microsoft Office (Word, Excel, PowerPoint), Famis 360, and Google Suite. The environment is fast-paced and service-oriented, requiring a polished, professional appearance and attire appropriate for a corporate front desk setting. You will interact frequently with visitors, delivery personnel, and internal staff, supporting a collaborative and customer-focused workplace

Pay and Benefits
The pay range for this position is $25.00 - $27.00/hr.
