Description

Robert Half is seeking a highly organized, professional, and proactive Executive Assistant to provide high-level administrative support to executive leadership for a client of ours. This individual will serve as a trusted partner to leadership, ensuring efficient daily operations through calendar management, meeting coordination, communication support, document preparation, project tracking, and confidential administrative assistance. The ideal candidate is resourceful, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while maintaining a high degree of professionalism and discretion.

Key Responsibilities:

Executive Support

Provide direct administrative support to executive leadership.

Manage complex calendars, scheduling meetings, appointments, and travel arrangements.

Screen and prioritize emails, phone calls, and correspondence.

Prepare agendas, presentations, reports, and executive-level communications.

Coordinate and support special projects and strategic initiatives.

Meeting Coordination

Schedule and organize internal and external meetings.

Prepare meeting materials, agendas, and supporting documentation.

Attend meetings as needed, record detailed meeting minutes, and distribute follow-up notes.

Track action items, deadlines, and project milestones to ensure timely completion.

Communication & Relationship Management

Serve as a primary point of contact for internal and external stakeholders.

Draft professional correspondence, reports, and presentations.

Facilitate communication between leadership and various departments.

Maintain positive relationships with clients, vendors, board members, and community partners.

Administrative & Operational Support

Manage confidential files, records, and sensitive information.

Create, update, and maintain policies, procedures, and organizational documents.

Assist with data collection, reporting, and research projects.

Process expense reports, invoices, and other administrative documentation.

Maintain accurate filing systems and document management processes.

Project & Event Coordination

Assist with planning leadership meetings, board meetings, and company events.

Coordinate logistics, attendee communications, and meeting materials.

Monitor project timelines and provide status updates to leadership.

Requirements

Required Qualifications

3+ years of Executive Assistant, Administrative Assistant, or related experience.

Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

Excellent written and verbal communication skills.

Proven experience managing multiple priorities and deadlines.

Strong organizational and problem-solving skills.

Ability to maintain confidentiality and exercise discretion.

Preferred Qualifications

Experience supporting C-suite executives or senior leadership.

Experience preparing meeting minutes and tracking action items.

Knowledge of project management principles.

Associate's or Bachelor's degree preferred.
