If so, Student Accessibility Services (SAS) with Iowa State University is currently seeking applicants for an Administrative Assistant II!
Student Accessibility Services works with students with documented disabilities. Our staff reviews medical documentation to determine eligibility for academic, housing, facilities, assistance animals, and dining accommodations.
What You'll Do:
As an Administrative Assistant II, you will provide administrative support for SAS. This will include:
Managing and maintaining the department email account.
Establishing and maintaining protocols to collect and distribute information from each area of the office for staff meeting agendas.
Communicating with outside parties who require escalated meetings with senior staff, handling all non-routine correspondence to ensure clarity in meeting @types and connecting outside parties to the correct staff member.
Coordinating and managing incoming calls, emails, and visitors to the SAS office.
Ordering office and program supplies for SAS along with processing P-card/T&H card transactions.
Coordinating and organizing staff onboarding tasks including onboarding schedules, ordering nametags, business cards, etc.
Communicating with other ISU departments to ensure coordination across campus.
Managing the office's administrative processes including scheduling appointments, regularly prioritizing and arranging meetings for office staff, maintaining confidential records, and organizing files related to accommodations.
Managing and coordinating invoicing, travel arrangements, room reservations, and inventory of office supplies.
Serving as the main backup to the Exam Accommodations Center (EAC) Coordinator and front desk student worker staff at the Student Accessibility Services main office.
Supporting in creating coverage plans for EAC, reception staff, and coordinators as needed for absences, leaves, or high-demand service periods.
The successful candidate for this position will also oversee hiring and onboarding of student employees for SAS and the EAC. They will supervise all student staff for reception, along with handling any elevated cases that arise. Other tasks that this individual will perform are generating and analyzing reports and providing coordinators with information they may need. They will also assist with data management and reporting tasks such as compiling statistics that will help in decision-making processes.
Preferred Qualifications:
Experience in an administrative role; preferably in an educational setting.
Experience collaborating with internal partners to improve processes; ideally in an educational environment.
Demonstrated experience in complex calendar management and scheduling.
Demonstrated proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, Outlook, and Teams.
Experience supervising and training employees.
