Job Description
The Medical Office Assistant serves as a key point of contact for patients in an outpatient medical practice, supporting front desk operations while ensuring a positive, patient-centered experience. This role manages day-to-day administrative workflows, coordinates patient flow, and maintains accurate documentation within the Epic electronic medical record system. Responsibilities
Manage patient check-in and check-out processes efficiently and professionally, ensuring all required information is collected and verified.
Respond to patient phone calls, complete follow-ups, and address basic inquiries in a courteous and timely manner.
Maintain accurate, thorough, and timely documentation within the Epic electronic medical record (EMR) system.
Coordinate patient flow to support smooth, efficient operations throughout the office.
Schedule patient appointments and assist with managing the daily schedule to optimize access and patient experience.
Support front desk operations, including greeting patients, verifying insurance or demographic information as needed, and directing patients appropriately.
Provide a high level of customer service to patients, families, and clinical staff, demonstrating compassion, respect, and professionalism.
Collaborate closely with physicians, advanced practice providers, and other support staff in a team-based, outpatient care environment.
Assist with basic patient care support tasks as needed, within the scope of the role and practice policies.
Use medical terminology appropriately in communication and documentation to support accurate and efficient clinical workflows.
Essential Skills
At least one year of experience in a medical office, outpatient clinic, or similar healthcare setting.
Experience working with electronic health records, preferably Epic EMR.
Ability to manage front desk operations, including patient check-in, check-out, and appointment scheduling.
Knowledge of basic medical terminology to support accurate communication and documentation.
Strong patient care orientation with a focus on delivering compassionate, respectful service.
Ability to handle patient phone calls, triage basic inquiries, and complete follow-up tasks reliably.
High school diploma or equivalent.
Reliable transportation to consistently report to work as scheduled.
Strong organizational skills with the ability to coordinate patient flow and manage multiple tasks in a busy environment.
Effective verbal and written communication skills for interacting with patients, families, and clinical staff.
Additional Skills & Qualifications
Epic EMR experience preferred.
Experience in family medicine or primary care outpatient settings is beneficial.
Background in rooming patients or supporting basic clinical workflows is an advantage.
Familiarity with patient triage processes in an outpatient environment is helpful.
Interest in working within a patient-centered, team-based care model.
Desire for long-term career growth within a large, established health system that offers development opportunities.
Ability to adapt to changing schedules within the defined operating hours while maintaining a high standard of service.
Work Environment
This role is based in a community-focused outpatient medical practice that combines the stability of a large, top-tier health system with a collaborative, team-based environment. Standard hours are generally between 8:00 AM and 5:00 PM, with flexibility required for shifts ranging from approximately 7:30 AM to 6:00 PM. The practice uses Epic as its primary electronic medical record system and relies on modern electronic health record and scheduling tools to support efficient care delivery. Pay and Benefits
The pay range for this position is $17.00 - $23.00/hr.
