Description of Job
The Administrative Assistant III - ROTC Liaison serves as the central coordination point between the university and Army and Air Force ROTC programs. This role is critical to ensuring seamless operations across multiple departments, military partners, and cross-enrolled schools.
The ROTC Liaison facilitates a wide range of administrative functions including student services, cadet record management, financial coordination, event planning, and interdepartmental collaboration. This position also acts as a primary resource for cadets, prospective students, and campus partners.
Key ResponsibilitiesProgram & Operations Coordination
Serve as the primary liaison between university departments and ROTC military units (Army and Air Force).
Support Mines Veteran's Alliance
Coordinate key functions related to admissions, registration, scholarships, housing, and financial aid.
Maintain communication with cross-enrolled partner institutions.
Student & Cadet Support
Maintain accurate and compliant cadet records in alignment with Department of Defense standards.
Provide guidance and support to current and prospective ROTC students.
Coordinate referrals and resources to support student success.
Event Planning & Execution
Plan and execute 8-10 annual events including orientation programs, ceremonies, recruiting events, and formal functions.
Manage logistics such as guest coordination, budgets, invitations, and on-site support.
Financial & Budget Administration
Monitor and manage multiple budgets, including tracking expenditures and reconciling accounts.
Ensure compliance with institutional and state financial policies.
Administrative & Office Management
Oversee daily office operations, including scheduling, communications, and documentation.
Maintain department website and assist with marketing and outreach efforts.
Coordinate calendars, meetings, and reporting.

MINIMUM QUALIFICATIONS:
Experience Only:
Three (3) years of relevant experience which include administrative coordination in a complex or multi-stakeholder environment (Experience must be clearly documented in the "Work History" section of your application. "See Resume" will not be accepted.)
OR
Education and Experience:
A combination of related education and/or relevant experience in an occupation related to the work assigned equal to three (3) years. (TRANSCRIPTS MUST BE ATTACHED FOR EDUCATIONAL CREDIT.)
