TekSystems is seeking a highly organized and proactive Administrative II professional to support senior clinical leadership, including physicians, the Medical Director, and the senior Social Work Director within the Psychology department. This role functions as a high-level administrative services coordinator, responsible for complex scheduling, coordination of travel logistics, and ensuring seamless communication across clinical teams.
The ideal candidate is detail-oriented, forward-thinking, and experienced in managing multiple priorities while maintaining organization in a fast-paced healthcare environment.
Key Responsibilities
Coordinate and manage complex scheduling for clinicians and leadership, including both on-site and off-site meetings, interviews, and events
Plan and execute travel logistics for out-of-state candidates (primarily psychiatrists), including hotel accommodations, transportation, and dining reservations
Develop and distribute detailed itineraries and ensure all stakeholders are informed and aligned on schedules and logistics
Serve as a central point of coordination to ensure all meetings, interviews, and visits run smoothly and efficiently
Provide administrative support to clinical leadership, including calendar management, document preparation, copying, and general office support
Track, manage, and follow up on required documentation to ensure completion and timely communication between providers and patients
Receive and process patient-related forms through Outlook and EPIC, including entering demographic information into the system
Assist patients and families with completing required forms and ensure accuracy and completeness
Follow up with providers on outstanding documentation and ensure completed information is returned to patients/families in a timely manner
Maintain organization across multiple workflows, ensuring nothing falls through the cracks in a high-volume environment
Additional Skills & Qualifications
2+ years of administrative experience, preferably supporting multiple stakeholders in a healthcare or professional setting
Strong organizational and multitasking skills with the ability to manage competing priorities
Experience coordinating complex scheduling, travel arrangements, and high-level logistics
Ability to communicate effectively and professionally with clinicians, leadership, patients, and external candidates
Experience working with Microsoft Outlook and electronic medical record systems (EPIC preferred)
Detail-oriented with strong follow-up skills and the ability to track multiple moving parts
Comfortable supporting senior -level staff, though prior executive assistant experience is not required
Preferred (Nice to Have)
Experience in a healthcare or behavioral health environment
Experience coordinating candidate interviews or onboarding logistics
Familiarity with patient intake processes and documentation workflows

Pay and Benefits
The pay range for this position is $21.63 - $26.92/hr.
