The Front Desk Administrative Assistant serves as the first point of contact for the office and plays a central, high-visibility role in keeping daily operations running smoothly. This position combines front desk reception, office coordination, and general administrative support, while partnering closely with internal teams, vendors, and subcontractors. The role offers hands-on exposure across operations, administration, and projects, providing a strong foundation for a long-term career in administrative or operational support within a structured, process-driven environment.
Responsibilities
Serve as the front desk and primary point of contact for the office by greeting visitors, answering phones, and providing a professional and welcoming presence.
Manage incoming and outgoing mail, packages, and office communications to ensure timely and accurate distribution.
Maintain overall office organization, including conference rooms, kitchen, and common areas, to keep the workspace clean, orderly, and presentable.
Manage conference room scheduling and calendars, ensuring meetings are properly booked and rooms are prepared as needed.
Order and track office supplies, coordinate inventory, and manage vendor needs to ensure the office remains fully stocked and operational.
Provide general administrative support such as data entry, maintaining lists and databases, and uploading contracts and other documents.
Coordinate meetings, travel arrangements, and internal events or projects, ensuring logistics are well organized and deadlines are met.
Partner with internal staff, vendors, and subcontractors to support day-to-day operations and facilitate smooth communication.
Help manage training coordination and ensure alignment with company procedures and established processes.
Support special projects while adhering to timelines and budget requirements.
Respond to frequent interruptions and shifting priorities while maintaining organization, accuracy, and a calm, professional demeanor.
Uphold a high level of confidentiality and professionalism in all interactions and handling of information.
Essential Skills
At least 2+ years of experience as an administrative assistant or office coordinator.
Strong proficiency with Microsoft Office Suite, including Excel, Outlook, Teams, and related applications.
Comfort and familiarity with general office equipment such as copiers, scanners, and phone systems.
High attention to detail and strong organizational skills to manage multiple tasks and priorities effectively.
Ability to multitask in a fast-paced environment with frequent interruptions while maintaining accuracy and composure.
Strong verbal and written communication skills and a professional front desk presence.
Ability to work independently, take ownership of tasks, and adapt to changing needs.
Strong problem-solving skills and the ability to stay calm under pressure.
High level of confidentiality and professionalism in handling sensitive information.
Additional Skills & Qualifications
Experience with Adobe or Bluebeam.
Experience using multi-line phone systems.
Event planning or internal coordination experience, such as organizing meetings, trainings, or office events.
Experience supporting teams across multiple departments or functions.
Demonstrated ability to anticipate needs and proactively keep an office running smoothly.
Track record of building strong working relationships with internal teams and external partners.
Work Environment
This is a fully on-site role in a professional, team-oriented office located in Denver, with no remote flexibility. The environment is fast-paced with frequent interruptions and requires consistent multitasking and prioritization. You will work closely with internal teams and external partners in a collaborative setting that values clear processes, defined responsibilities, and strong communication. The office operates in a structured environment with established procedures, offering exposure to a variety of large, impactful projects and opportunities for career growth through hands-on experience and internal training. Professional attire and demeanor are expected, particularly given the front desk visibility and frequent interaction with visitors and callers.

Pay and Benefits
The pay range for this position is $22.00 - $26.00/hr.
