About this Position
The Administrative Assistant supports the day-to-day operations of Pinyon and provides general administrative support to leadership and staff. This role helps keep the office organized, welcoming, and running smoothly by coordinating office supplies, vendors, mail and deliveries, meeting support, front desk coverage, and basic administrative needs. This is an in-office position based in Pinyon's corporate office in Lakewood, Colorado, with a regular Monday through Friday schedule during standard business hours. Occasional support outside of normal business hours may be needed for company meetings, office events, employee activities, or other special events. This position is highly visible and requires strong customer service, attention to detail, organization, discretion, and the ability to manage multiple priorities in a professional office environment.
Essential Responsibilities
Office Operations and Organization
Maintaining organized, clean, and functional spaces
Monitoring and stocking office supplies and common areas
Coordination of office logistics (kitchen, printers, meeting spaces)
Maintaining common spaces and storage areas
Identify operational needs or improvements within the office
Supply and Vendor Coordination

Monitoring supply inventory and placing orders
Managing relationships with office vendors (supplies, cleaning, etc.)
Ensuring timely deliveries and order accuracy
Mail, Packages, Deliveries

Receiving, sorting, and distributing mail and packages
Notifying employees of deliveries
Coordinating outgoing shipments and courier pickups
Front Desk & Communication Support

Answer and route incoming phone calls
Greet guests and direct them
Maintain a professional front office presence
Assist with basic internal communication needs
Hospitality and Meeting Support

Assist with office and/or team celebrations
Help coordinate office activities or social events
Coordinate catering orders and food deliveries
Assist with meeting room preparations
Administrative and Team Support

Assist with small internal projects
Help coordinate scheduling or meetings
Provide administrative help to leadership, as requested
Vehicle Fleet Coordination
Maintain fleet vehicle records (insurance, registration, keys, mileage logs, service records)
Coordinate maintenance and service appointments
Track vehicle inspections, registrations, and renewal deadlines
Monitor vehicle reservations or availability
Assist staff with vehicle access and basic questions
Complete other basic administrative support tasks as assigned
Knowledge, Skills, and Abilities
Prior office administration experience preferred
Working knowledge of Microsoft Office, including Word, Outlook, Teams, and Excel
Strong customer service skills and timely, consistent follow-through
Valid driver's license and acceptable driving record required
Strong verbal and written communication skills
Strong organizational skills and the ability to manage multiple priorities and coordinate across teams
Ability to handle employee matters professionally
Strong attention to detail and critical thinking skills
Ability to keep sensitive information confidential and use discretion when handling it
Commitment to meeting deadlines
Ability to occasionally lift and carry office supplies, packages, and meeting materials up to 40 pounds
Employment is contingent upon passing a background check
Prior office administration experience preferred
Working knowledge of Microsoft Office, including Word, Outlook, Teams, and Excel
Strong customer service skills and timely, consistent follow-through
Valid driver's license and acceptable driving record required
Strong verbal and written communication skills
