Summary This position is located in the Veterans Health Administration, Mid-Atlantic Heath Care network (VISN 6) Asheville VA Medical Center, under the Physical Medicine and Rehabilitative Service. The Physical Medicine and Rehabilitative Service (PM&RS) serves multiple different occupational series to include Physiatrists, Physical Therapy (PT), Occupational Therapy (OT), Kinesiotherapy (KT}, and Recreational Therapy/Creative Arts Therapy (RT/CAT). Responsibilities Major duties include, but are not limited to: The incumbent provides administrative, clerical, and technical support for day-to-day operations within the service. The incumbent will assist management in program improvement projects, program planning, and operational evaluations. Assist management by monitoring and evaluating all clerical/administrative procedures within the service. The incumbent will use basic evaluative techniques to identify issues and make recommendations to management. Works closely with the Administrative Officer by serving as a backup point of contact on behalf of the service. Processes incoming phone calls and assures critical calls/needs are forwarded appropriately. The incumbent takes successive steps to independently resolve conventional issues within the scope of work. Assist management by performing work involving the collection, compilation, and tracking of statistical information and clinical data on behalf of the service. Utilizes a variety of computer software programs to maintain internal databases and establishes protocols for incoming data. Creates excel spreadsheets to track quarterly production reports. Pulls data to include but not limited to the following reports: Rehabilitative VSSC reports such as the Rehabilitation and Prosthetic Services Dashboard, Rehabilitation and Prosthetics Services Productivity, Rehab SPARQ, Specialty Provider Productivity Standards Performance and Outlier Review, and more. Conducts reviews for inconsistencies and/or omissions and ensures data entry is complete and accurate. Takes information from these reports and integrates the information into a Power Point with recommendations to the Clinical Program Manager and Service Chief. The incumbent will send reports and correspondence to necessary stakeholders under the direction of management. Processes and facilitates appropriate distribution of all incoming correspondence and ensures timely follow-up. Assisting the supervisors with drafting Care Coordination Agreements. Organizes and maintains files and records, manual regulations, Standard Operating Procedures (SOPs), memorandums, and directives regarding PM&RS and other related material in accordance with Medical Center policy. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 06/19/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. You may qualify based on your experience and/or education as described below: Specialized Experience: Do you possess at least one (1) full year of specialized experience that equipped you with the knowledge, skills, and abilities to successfully perform the duties the Program Support Assistant at the full performance level (GS-7), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-6) in the Federal service. Specialized experience includes experience where you were responsible for providing administrative support functions within a healthcare facility; experienced Managing the Surgery Package for the Surgery Department to present reports or combination of routines to create complex reports from the Surgery Package; Implementing effective Problem Solving skills and overall knowledge of VISTA applications; Troubleshooting all error messages and malfunctions of all OR software and packages supported or used within the Surgical Service; Advanced knowledge of various software applications to include Dragon Speak, MS Excel, Access, Word and PowerPoint to effectively be able to advise staff as needed; Ability to retrieve periodic data and statistical reports and prepare correspondence by collecting and releasing data relevant to surgical medical and clinical activities and workload; Experience building and posting daily OR schedules and overseeing all aspects of the OR scheduling processes; Experience serving as a Timekeeper, initiating and maintaining all required records; and other functions within the Surgical or similar clinical environments within the VA Healthcare system.
