Job Title: Sales Administrative AssistantJob Description
The Sales Administrative Assistant supports the Sales and Marketing teams by managing customer communications, maintaining CRM and ERP data, preparing quotes, and providing phone and inbox coverage. This role also updates marketing lists, compiles routine sales documentation, and supports daily commercial operations in a fast-paced B2B environment. Success in this position requires strong organization, meticulous attention to detail, professional communication, a sense of urgency, and the ability to manage multiple tasks simultaneously.
Responsibilities
Develop and maintain a strong working knowledge of company systems, products, and customer accounts to effectively support customers and perform sales administrative tasks, including quote preparation.
Monitor the sales phone line, voicemail, and shared email inbox, responding promptly and professionally to customer inquiries, issues, and opportunities by taking action directly or coordinating with appropriate internal teams.
Provide backup coverage for the main company phone line, handling incoming calls in a professional manner, triaging inquiries, and resolving or routing them to the appropriate departments.
Accurately enter and maintain account, contact, and opportunity data within CRM and ERP systems to ensure up-to-date and reliable records.
Input new contacts generated through sales and marketing activities and maintain accurate marketing distribution lists across company systems.
Compile and prepare monthly marketing performance metrics and reports for management review.
Support sales and marketing initiatives by obtaining certificates of insurance and completing standard documentation for bid responses, including occasional outbound calls to current or prospective customers.
Provide general administrative support to the Sales and Marketing teams, including clerical tasks, document preparation, and data entry as needed.
Assist with additional duties and special projects as assigned to support broader business objectives.
Maintain all company-provided equipment and materials in safe, functional, and serviceable condition.
Essential Skills
Minimum 5+ years of experience as an administrative assistant or in a similar administrative support role.
Minimum 5+ years of experience performing order entry and client support in a professional setting.
Proficiency with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
Strong administrative support skills, including clerical work, documentation, and scheduling.
Accurate and efficient data entry skills with a focus on maintaining clean and reliable records.
Demonstrated customer service experience in a professional, customer-facing role such as customer service, sales, or marketing, preferably in a business-to-business environment.
Experience providing sales support, including quote preparation, order entry, and customer follow-up.
Strong computer and organizational skills, with the ability to manage multiple tasks and priorities simultaneously.
Effective time management skills and the ability to work independently with minimal supervision while maintaining productivity and accuracy.
High level of integrity and professionalism, with consistent adherence to company policies and Code of Conduct.
Ability to remain seated and work at a computer for extended periods, up to 8 hours per day.
Must be authorized to work in the United States without restriction or sponsorship.
Additional Skills & Qualifications
Bachelor's degree (BS/BA) in a business-related field, or equivalent experience, is preferred.
Experience with CRM systems, including maintaining accurate records of customer interactions, is preferred.
Experience with ERP systems and order management processes is beneficial.
Strong attention to detail and the ability to manage multiple priorities while consistently meeting deadlines.
Professional demeanor with a positive attitude and excellent verbal and written communication skills.
Clear, confident, and courteous phone presence when interacting with customers and internal stakeholders.
Quick learner with the ability to grasp new concepts, follow instructions, and adapt to company processes and systems.

Work Environment
This role is based in an office environment in Horsham, PA. The position follows a standard Monday through Friday schedule, typically from 8:30 a.m. to 5:00 p.m. The Sales Administrative Assistant works primarily at a computer for extended periods and regularly uses office technologies, including Microsoft Office applications, CRM systems, ERP systems, and standard office equipment. The dress code is business casual. The organization operates in the lab testing and manufacturing space and offers opportunities for professional growth over time for individuals who perform well and express interest in additional roles and responsibilities.

Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
