Job Title: ReceptionistJob Description
This 6-month, temp-to-hire receptionist role offers the opportunity to support a growing aerospace organization in Everett, WA. Working fully onsite from 7:00 a.m. to 4:00 p.m., you will serve as the first point of contact for visitors, guests, and contractors, while providing essential administrative and front desk support. You will help coordinate site access, support security and trade compliance processes, manage conference rooms and mail, and perform a variety of clerical and customer service tasks that keep daily operations running smoothly.
Responsibilities
Warmly greet and check in guests, visitors, and contractors at the front desk, ensuring they feel welcome and informed.
Coordinate with internal hosts to ensure visitors are promptly met and escorted as needed.
Support site security and global trade processes by managing visitor forms and ensuring documentation is complete and accurate.
Issue escorted visitor badges and access badges as required, following established security protocols.
Partner closely with the security leader to provide access badges to new hires and manage access permissions.
Answer incoming calls, route them appropriately, take accurate messages, and respond to front-desk emails in a timely and professional manner.
Manage conference room reservations, ensuring rooms are booked, organized, and ready for meetings and events.
Arrange and order catering for meetings and events when requested, coordinating details and timing with internal stakeholders and vendors.
Receive, sort, and distribute incoming mail and packages, notifying recipients promptly when items arrive.
Perform basic clerical duties, including filing, data entry, photocopying, and scanning of reception and visitor documents.
Use Microsoft Office and task-specific online systems to complete daily administrative tasks and maintain accurate records.
Provide general administrative assistance to support office operations and enhance the overall visitor and employee experience.
Maintain a clean, organized, and professional front desk and reception area at all times.
Essential Skills
At least 2-5 years of general administrative and/or receptionist experience in a professional office environment.
Proven front desk and receptionist experience with strong customer service orientation.
Proficiency with Microsoft Office, including Outlook, Word, and Excel.
Ability to perform basic Excel functions; familiarity with vlookup, pivot tables, and basic Excel analysis is strongly preferred.
Accurate data entry skills and experience handling administrative documentation.
Strong verbal and written communication skills for interacting with visitors, employees, and vendors.
Ability to manage multiple tasks simultaneously, including calls, visitors, emails, and scheduling.
High school diploma or educational equivalent (GED) required.
Eligibility to work in a secure aerospace environment in compliance with ITAR requirements.
Additional Skills & Qualifications
Experience providing administrative support in a corporate, industrial, or aerospace environment.
Demonstrated ability to deliver professional, courteous customer service in a fast-paced setting.
Experience coordinating conference room schedules and meeting logistics.
Familiarity with Zoom or similar video conferencing tools.
Experience arranging catering and supporting onsite meetings or events.
Comfort working with task-specific online systems and internal security or access control tools.
Strong organizational skills and attention to detail when managing visitor records and access permissions.
Ability to work independently at the front desk while collaborating effectively with security and other internal teams.
Work Environment
This role is 100% onsite at an aerospace facility in Everett, WA, working a consistent 7:00 a.m. to 4:00 p.m. schedule with a one-hour lunch break. The position is a 6-month temp-to-hire opportunity, offering a clear path to longer-term employment for strong performers. You will work in a professional front desk and office environment, interacting regularly with visitors, contractors, and internal staff. The facility provides free onsite parking for employees. Daily work involves using Microsoft Office, Zoom, and other task-specific online systems, as well as standard office equipment such as phones, printers, scanners, and copiers. Pay and Benefits
The pay range for this position is $24.00 - $25.00/hr.
