The Medical Assistant Scheduler supports a high-volume orthopedic practice by coordinating patient appointments, maintaining accurate electronic medical records, and ensuring smooth daily operations across multiple offices. This role combines medical assisting, reception, and scheduling responsibilities, requiring strong multitasking skills, excellent communication, and a commitment to delivering a positive patient experience.
Responsibilities
Utilize Medent and other electronic medical record (EMR) systems to accurately document, update, and maintain patient records while ensuring confidentiality and data integrity.
Manage the appointment calendar by scheduling, rescheduling, and confirming patient visits in coordination with provider availability across multiple office locations.
Handle a high volume of incoming calls, route them to the appropriate personnel, and respond to patient inquiries in a professional and supportive manner.
Verify patient insurance coverage prior to visits and procedures, ensuring that all necessary information is collected and documented correctly.
Process insurance claims, create invoices, and manage patient billing activities in a timely and accurate manner.
Maintain and update detailed patient medical histories and records, ensuring all information remains current and complete.
Provide patients with clear information about treatments, medications, and post-procedure care as directed by healthcare providers.
Coordinate and schedule surgical procedures for multiple doctors, ensuring all required information, documentation, and logistics are in place.
Order, track, and manage medical supplies and equipment to support daily clinical and administrative operations.
Work closely with healthcare providers and clinical staff to support efficient patient flow and minimize wait times in very busy office settings.
Organize workload and prioritize tasks effectively to manage a steady flow of patients and administrative responsibilities throughout the day.
Demonstrate strong interpersonal skills and maintain a positive, affirming attitude toward patients, colleagues, and providers.
Support both medical assisting and medical reception functions as needed, contributing to a collaborative team environment.
Essential Skills
Proven experience using electronic medical record (EMR) systems, including Medent and ModMed (ModMed implementation as of August 2025).
Surgical scheduling experience with multiple doctors, including coordinating procedures and managing complex schedules.
Demonstrated ability to multitask effectively in a very busy medical office environment.
Experience with medical assisting and medical reception duties in a clinical setting.
Proficiency in patient scheduling and appointment coordination, including high-volume patient flow.
Experience with insurance verification and an understanding of medical billing processes.
Familiarity with medical terminology, particularly in an orthopedic setting.
Strong organizational skills with the ability to prioritize tasks and manage time efficiently.
Excellent interpersonal and communication skills, with a positive and professional demeanor when interacting with patients and staff.
Additional Skills & Qualifications
Experience working in orthopedic or surgical practices is highly beneficial.
Comfort working within a large but locally focused network of offices.
Ability to adapt to new EMR technologies and workflows, including transitions between systems.

Work Environment
This role is based in a very busy orthopedic practice with seven office locations in New Jersey, including Sparta (main hub), Morristown, Randolph, two locations in Hackettstown, Newton, and Cedar Knolls. The typical schedule is Monday through Friday, with start times between 8:00 a.m. and 9:00 a.m., working eight-hour shifts. In addition, the position requires working one weekend per quarter, with Saturday and Sunday shifts from 8:00 a.m. to 12:00 p.m. The offices see approximately 20 to 40 patients per day per provider, with appointments scheduled roughly every 15 minutes, requiring strong multitasking and EMR proficiency. Pay and Benefits
The pay range for this position is $19.00 - $22.00/hr.
