GENERAL DESCRIPTION:
The Wyoming Department of Transportation (WYDOT) is currently seeking an Office Support Specialist II for the District Office in Laramie, Wyoming, to perform administrative and support duties (including fiscal, clerical, and other location-specific duties) under limited supervision. This position primarily assists District Staff and other departments throughout the district by providing support and assistance to aid them in achieving their daily, weekly, and yearly objectives.

Customer Service & Public Relations
Serve as the primary point of contact for the District Office by answering phones, assisting walk-ins, and responding to public inquiries regarding WYDOT, Highway Patrol, road conditions, construction, and maintenance activities.
Professionally handle difficult or upset customers and resolve issues related to district operations and services.
Assist with district outreach and employee recognition efforts through event participation and photography support.
Administrative Support
Perform administrative support duties including mail distribution, certified mail processing, notary services, and flag protocol responsibilities.
Coordinate scheduling and reservations for meeting rooms, classrooms, TLN rooms, and district vehicles.
Maintain and update district phone lists, organizational charts, and employee photo directories.
Provide general administrative support to district programs and personnel to assist in achieving district priorities.
Payroll & Reporting
Review and assist with employee timekeeping and payroll processes using PeopleSoft and Agile Assets systems.
Coordinate annual and material inventory reporting and ensure timely completion of required documentation.
Systems & Technical Support
Administer Asset Essentials functions including user account management, work order support, dispatcher duties, and troubleshooting assistance.
Provide technical and administrative support to supervisors and staff related to Agile Assets and other district systems.
Manage district building access systems, employee access credentials, and Rest Area camera system support.
Maintain records and coordination of state-issued cell phones and related communication services.
Safety & Compliance
Support district safety programs and serve as secretary for the State Safety Committee by coordinating meetings, agendas, and meeting minutes.
Manage and track Damage Repair forms and related documentation, including coordination with supervisors, Highway Patrol, and Damage Repairs staff.
Financial & Program Support
Assist with facilities and financial processes including invoices, purchase card releases, vouchers, work orders, and Accounts Payable documentation.
Support the District Traffic Program by maintaining permit records and assisting with traffic studies.
Assist Human Resources staff with onboarding activities and new hire documentation.
Qualifications
PREFERENCES:
Preference may be given to applicants with extensive customer service experience and experience working with enterprise asset management software or database systems.
KNOWLEDGE:
Excellent customer service skills
Excellent oral and written communication skills
Experience with database management/learning management systems
Knowledge of invoice processing, purchase card reconciliation, and data entry for financial tracking
Office management skills, which require organizational, time management, and project management duties
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

PHYSICAL WORKING CONDITIONS:
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items up to 25 lbs., driving an automobile, etc.

** Qualifying eligibility and criteria for the hiring bonus
Acceptance of a permanent, full-time position posted for public recruitment.
Temporary employees accepting a full-time position.
Current employees accepting a promotional opportunity - recruitment must have been opened to the public.
One year of service to WYDOT must be completed, failure to complete this requirement will forfeit the hiring incentive, and funds will be recouped from final pay.
Internal candidates would be required to remain in the position for a minimum of one (1) year from their promotion date.
Employees would only be eligible for one (1) hiring bonus in a 12-month period.
If the employee elects to downgrade through an active recruitment and/or appointment during the twelve (12) month period, they would be required to pay the bonus back.
