The Director's Administrative Assistant position within QA requires an individual who can operate with exceptional speed, precision, and independent judgment. This is a highly dynamic environment where priorities shift rapidly, and the ability to manage multiple high-impact tasks simultaneously is essential. The ideal candidate must demonstrate genuine, proven capability in high-velocity multitasking - not simply the ability to "handle multiple tasks," but the capacity to execute them concurrently, accurately, and under time pressure. A strong candidate will possess a refined sense of operational prioritization, enabling them to determine, in real time, which actions require immediate attention, which tasks carry downstream organizational impact, and which items can be deferred without risk. This role demands an individual who can make independent decisions confidently and responsibly, often without the opportunity to seek direction due to the pace at which QA and GA-ASI operate.
A successful candidate must demonstrate the ability to triage competing priorities with composure, structure, and sound judgment. They should be able to articulate how they would sequence these tasks, what criteria they use to determine urgency, and how they maintain accuracy while moving at speed.
This role requires an individual who brings not only administrative capability, strong analytical thinking, and the ability to serve as a stabilizing force in a fast-moving operational environment. DUTIES & RESPONSIBILITIES:
Coordinates and tracks all activities related to Production Quality Assurance, ensuring alignment with leadership priorities and operational timelines.
Manages urgent travel requests, including GA aircraft shuttle, while supporting executive-level needs with accuracy, discretion, and speed.
Maintains, processes, and compiles confidential reports, records, statistics, timelines, and presentations requiring exceptional tact and judgment.
Responds to high-volume verbal and written inquiries from internal stakeholders and authorized external agencies; triages Teams communications from leadership.
Coordinates, tracks, and reports progress on unit assignments and projects, ensuring deliverables remain on schedule in a fast-moving environment.
Gathers, validates, and synthesizes data from multiple sources to support QA operations, audits, and leadership decision-making.
Manages onboarding tasks, systems access, documentation, and coordination to ensure new employees are fully operational on day one.
Navigates ASI/QA platforms, resolves access issues, and submits/tracks ITS requests to maintain operational continuity.
Assists employees who arrive with immediate needs while balancing higher-priority leadership and compliance-driven tasks.
Processes and reconciles travel and expense reports with precision, ensuring compliance with financial and audit standards.
Manages visitor requests, access, and logistics in coordination with security, facilities, and leadership.
Submits and tracks facilities issues, cleaning needs, and workspace adjustments to maintain a functional and professional environment.
Oversees office supply inventory, ordering, and purchase requisitions to support daily QA operations.
Supports strategic initiatives and special projects assigned by leadership while balancing ongoing operational responsibilities.

Job Qualifications:
Typically requires a high school diploma or equivalent and four or more years' experience in a field related to the specialized functional area or unit where assigned.
The ability to grasp new concepts quickly.
Knowledge of SAP and SharePoint preferred.
Experienced in Microsoft Suite, including Teams required.
The ability to maintain the confidentiality of sensitive information.
Excellent organization skills and ability to establish priorities.
The ability to identify issues, interpret and explain complex information and solve non-routine problems, issues or situations that require evaluation and interpretation.
Strong analytical, interpersonal, verbal and written communication skills to accurately document, report and interface effectively with all levels of personnel, including management, customers and vendors.
Comprehensive understanding of applicable policies and procedures as well as a complete understanding of relevant regulations.
Extensive knowledge of computer operations and applications.
Ability to obtain and maintain a DoD Security Clearance is required.

Cross-functional coordination experience - Ability to work seamlessly with directors, managers, supervisors, Production, DCMA, HR, Security, Facilities, and other internal stakeholders.
Systems and platform fluency - Comfortable navigating multiple enterprise systems (SAP, SharePoint, Concur, Teams, onboarding systems, QA/ASI tools) and resolving access or technical issues.
Strong onboarding and access-management capability - Experience coordinating new-hire onboarding, systems provisioning, and documentation with precision and timeliness.
Professional presence and executive-level communication - Represents leadership with maturity, discretion, and polished written and verbal communication.
Operational foresight and anticipatory support - Ability to anticipate leadership needs, identify potential gaps, and proactively address issues before they escalate.
