Job Title: Marketing Specialist
Job Description
The Marketing Specialist supports firmwide marketing, business development, and visibility initiatives within a collaborative AEC (architecture, engineering, and construction) environment. This role focuses on coordinating and producing RFQ/RFP responses, marketing collateral, and interview materials while managing CRM data and contributing to go-to-market strategies across multiple market sectors. The position offers high visibility with firm leadership, exposure to strategic client acquisition processes, and a clear pathway to grow into senior marketing or proposal leadership roles.
Responsibilities
Coordinate RFQ and RFP pursuits from end to end, including conducting research, organizing and scheduling Go/No-Go meetings, developing work plans, and managing all deadlines to ensure timely submission.
Develop customized proposal content and marketing materials tailored to specific clients, sectors, and opportunities while maintaining alignment with brand standards.
Lead proposal and pursuit management efforts by overseeing content development, organizing supporting documentation, and ensuring consistency and quality across all submissions.
Support business development efforts across multiple market sectors by partnering closely with business development and sector leaders to drive pursuit strategies and client outreach.
Maintain and update CRM data in Deltek Vantagepoint, including contacts, opportunities, and pipeline information, ensuring data accuracy for business development tracking and reporting.
Create and maintain marketing collateral, boilerplate content, and proposal graphics that reflect the firm's branding and messaging.
Assist with interview and shortlist presentation preparation by creating presentation decks, coordinating logistics, and facilitating rehearsals with internal teams.
Support firm visibility initiatives, including coordinating events, contributing to website development, and supporting social media marketing activities.
Collaborate with internal stakeholders across marketing, business development, technical teams, and leadership to align messaging, share information, and support go-to-market strategies.
Conduct market research to inform pursuit strategies, marketing campaigns, and business development priorities.
Manage multiple concurrent deadlines and projects, ensuring all deliverables meet quality standards and are completed on time.
Essential Skills
Bachelor's degree in Marketing, Business, or a related field, or equivalent experience.
Marketing experience, preferably within the AEC (architecture, engineering, and construction) industry.
Strong written and verbal communication skills with the ability to craft clear, compelling content.
Proven ability to manage multiple deadlines simultaneously in a fast-paced, deadline-driven environment.
Detail-oriented approach with strong organizational and time management skills.
Advanced proficiency in Adobe InDesign for layout and design of proposals and marketing materials.
Proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel.
Experience working with CRM systems, with specific experience in Deltek Vantagepoint strongly preferred.
Ability to work cross-functionally and collaboratively with technical teams, business development professionals, and firm leadership.
Demonstrated experience in RFQ/RFP coordination, proposal writing, and pursuit management.

Background in marketing strategy, marketing communications, and go-to-market support.
Experience with website development coordination and content updates.
Familiarity with social media marketing and managing firm visibility across digital channels.
Experience coordinating events, including logistics, promotion, and follow-up.
Comfort working in a multi-office environment and collaborating with colleagues across locations such as New York, Hartford, and Boston.
Interest in growing into a senior marketing or proposal leadership track.
Ability to interpret market research and translate insights into pursuit and marketing strategies.
Work Environment
The role operates in a hybrid work model, offering a blend of in-office and remote work to support flexibility and collaboration. The position can be based in the New York City office and is part of a collaborative, multi-office AEC environment with a footprint that includes East Coast locations. The work involves frequent interaction with marketing, business development, technical teams, and leadership, often centered around major pursuits and strategic initiatives. The environment is fast-paced and deadline-driven, with a strong emphasis on teamwork, communication, and high-quality deliverables. Core tools and technologies include Adobe InDesign, Microsoft Office, and the Deltek Vantagepoint CRM system, which are used regularly to produce proposals, manage data, and support marketing and business development activities.

Pay and Benefits
The pay range for this position is $36.00 - $40.86/hr.
