Admin Assistant

Job Title: Admin Assistant

Location: Ridgefield, CT

Schedule: M-F normal business hours

Contractor Work Model: Hybrid (3 days/wk on-site)

Compensation: $26.65/hr

Type: 2-year contract, Potential for extension or conversion to permanent

Responsibilities

Support administrative operations for a large cross-functional Human Pharma team

Create and manage purchase orders using SAP and Ariba systems

Track invoices and identify discrepancies or anomalies requiring follow-up

Process and route documents through DocuSign workflows

Prepare, maintain, and organize reports, spreadsheets, and filing systems

Submit and reconcile expense reports using Concur

Coordinate travel arrangements, including flight and hotel bookings

Maintain accurate administrative records and documentation

Assist with general operational support for marketing, training, and sales support teams

Collaborate with administrative staff to manage high-volume support requests and deadlines

Requirements

Bachelor's degree required

2-5 years of administrative, operations, or business support experience

Experience using Ariba for purchase order creation and processing

Experience with DocuSign document workflows and approvals

Experience tracking invoices and supporting SAP-based financial or procurement processes

Strong attention to detail and ability to identify discrepancies or reporting anomalies

Experience preparing and filing expense reports

Experience coordinating travel arrangements, including flights and hotels

Proficiency with Microsoft Office Suite, particularly Excel, Outlook, and Word

Strong organizational and multitasking skills in a fast-paced environment

Ability to manage confidential information with professionalism and accuracy
