About the Role

Location: Newark, CA (Onsite)

Travel: Occasional travel to Palo Alto, CA (1-2 times per week)

We are looking for a highly organized and patient-focused Medical Scheduler to join our team in Newark, CA. In this role, you'll be the first point of contact for new and existing patients, providing a warm, professional experience while supporting scheduling, intake, and administrative processes.

What You'll Do

Answer and return all incoming new patient calls in a courteous and professional manner

Manage multiple calls and inquiries efficiently throughout the day

Enter and track new patient referrals accurately in the system

Send new patient welcome emails and required intake paperwork

Collect and verify patient insurance information before scheduled appointments

Triage incoming calls from work queues and route appropriately

Provide clear instructions to patients to prepare them for exams and procedures

Confirm upcoming appointments and ensure patients are informed and ready

Resolve scheduling conflicts as they arise with a proactive and patient-first approach

What You'll Bring

Strong multitasking skills with the ability to balance patient needs and office priorities

Excellent time management and ability to keep up with daily workflows and queues

Outstanding communication and interpersonal skills

Experience scheduling appointments and maintaining accurate patient records

Detail-oriented approach with the ability to stay organized in a busy environment

Comfort working with administrative systems and managing supplies when needed

This is a Contract position based out of Newark, CA.

Pay and Benefits

The pay range for this position is $35.00 - $35.00/hr.
