Administrative Assistant / Project Coordinator

Rocky Hill, CT

Responsibilities

Manage service agreements including setup, renewals, changes, and cancellations

Track contract expirations, generate renewal proposals, and communicate with customers

Support project setup by ensuring accurate contract details (pricing, scope, billing, schedules)

Maintain project tracking tools (schedules, RFIs, change orders, WIP reports)

Coordinate materials, purchasing, and deliveries for projects and field technicians

Assist with invoicing, payment tracking, and project documentation

Organize permits, project files, and closeout documents

Support project teams with administrative tasks and reporting

Act as a liaison between sales, operations, field teams, and vendors

Provide backup support to the Service Coordinator as needed

Qualifications

3+ years of administrative or project coordination experience in construction, engineering, manufacturing, or similar environment

Experience supporting project-based work (documentation, scheduling, purchasing, invoicing)

Strong attention to detail and data entry skills

Proficiency in Microsoft Office (Excel, Word, Outlook)

Highly organized with ability to manage multiple tasks and projects

Strong communication and customer service skills

Ability to work in a fast-paced, deadline-driven environment

Job Type & Location

This is a Permanent position based out of Rocky Hill, CT.

Pay and Benefits

The pay range for this position is $55000.00 - $65000.00/yr.

Company offers a standard benefits package comprised of Health, Dental, Vision, PTO, etc.

Workplace Type

This is a fully onsite position in Rocky Hill,CT.
