Job Title: Administrative Assistant

The primary function of this role is to provide administrative support to the executive office. Duties include general clerical, planning, organizing, and project-based work. Display a professional company image through in-person and phone interaction.

This job requires the ability and desire to work in a fast-paced multi-tasked environment with a focus on administration, organization, reporting, and data management.

Essential Duties & Responsibilities

Attend and take notes at all meetings as requested.

Assist in organizing company training, large meetings, dinners, etc. as requested.

Print emails and/or any other documents as requested.

Request, track, and print weekly job site reports from project managers.

Assemble Presentations folders.

Manage coffee and vending machines for the corporate office.

Collect and print all job site pictures and forward to designers or other employees as needed.

Backup headcount Sheet Coordination.

Serve as the back up to the other Executive Administrative Assistants when needed.

Follow-up on job site visits and meeting notes and update as needed.

Assist in itemized tasks and action items from meetings and visits.

Coordinate company pictures, collages, and corporate signage as needed.

Perform any other duties as assigned by the executives.

Qualifications

High school diploma or GED is required.

3+ years of experience in an administrative role is required.

Construction industry experience is a plus.

Significant experience with Microsoft Office applications (i.e. Word, PowerPoint, Excel) is required.

Knowledge of general office machines and telephone systems is required.

Ability to think strategically, make sound decisions, and produce accurate and timely results is required.
