Aston Carter is partnering with a leading manufacturing organization to hire a full-time Administrative Assistant. This role provides comprehensive administrative and clerical support across Human Resources, Project Management, Estimating, Engineering, and Manufacturing. The position focuses on accurate data entry, document control, and project coordination, supporting the preparation of customer quotes, proposals, and required forms.

Key Responsibilities
Administrative Support - Perform general office duties including data entry, filing, document preparation, and cross-departmental support.
HR Assistance - Provide administrative support to the HR team as needed.
Project Coordination - Support documentation and workflow for HR, Project Management, Estimating, Engineering, and Manufacturing.
Data Entry - Complete high-volume data entry for customer forms using Excel, Word, and other applications.
Quote & Proposal Support - Collect documents, maintain quote files, assemble binders, and ensure all materials are accurate and complete.
Document Control - Maintain organized, current, and accessible records across multiple departments.
Template & Form Management - Create, update, and maintain customer forms and templates.
Specification Management - Download customer specifications and load them into proposal folders.
Pricing Verification - Confirm accuracy of customer pricing forms and ensure data links function correctly.
Communication Tracking - Maintain email logs to support accuracy and traceability in quote preparation.
Proposal Writing Support - Assist Estimating and Project Management with proposal content and document organization.
QAD Entry - Enter budget sheet information into the QAD system with precision.
Cross-Department Flexibility - Provide support wherever needed, especially for leadership in project management, engineering, manufacturing, and estimating.
Complete additional administrative tasks or special projects as assigned.
Essential Skills & Experience
3+ years of administrative support experience, ideally in manufacturing or construction.
High school diploma required; associate degree preferred.
Advanced intermediate proficiency in Excel, Word, Outlook, and Acrobat DC.
Strong data entry accuracy, attention to detail, and organizational skills.
Experience supporting multiple departments and coordinating projects.
Ability to transfer information accurately into the QAD system.
Strong editing, proofreading, math, and research skills.
Experience with document control and maintaining structured filing systems.
Ability to manage multiple priorities in a fast-paced environment.
Clear and professional written and verbal communication skills.
Reliability, long-term commitment, and a collaborative mindset.
Preferred Qualifications
Experience supporting HR, Project Management, Estimating, Engineering, and Manufacturing teams.

Work Environment
This is a full-time, on-site role in an office attached to a manufacturing shop. The environment is professional yet relaxed, with a strong blue-collar culture and long-tenured employees. You'll collaborate daily with project management, engineering, manufacturing, estimating, and HR teams, using tools such as Microsoft Office, Acrobat DC, and QAD. Dress code is business casual, with jeans permitted on Fridays.

Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
