Responsibilities If selected for this position, you will join a well-respected team that is responsible for providing a wide variety of technical and administrative support services for the District of New Jersey's front office and executive staff as needed. Typical work assignments will include: Briefing and advising management and staff of the USAO on the current views of the First Assistant United States Attorney, Executive Assistant United States Attorney and the Counsel to the United States Attorney on issues facing the organization. Arranging conferences and meetings for supervisors which include scheduling travel arrangements, preparing agenda, notifying participants, and developing and assembling background information. Ensuring commitments made at meetings are tracked and kept. Exercising control over supervisors' calendars for appointments, meetings, engagements, and conferences with authority for commitments of time. Reminding supervisors of commitments, including court appearances, conferences, and appointments; and furnishing them with the necessary papers or case file so that they are prepared for court appearances, scheduled conferences or appointments. Preparing correspondence and legal documents required in the more difficult cases handled by the supervisors. Receiving and screening telephone calls and visitors with professionalism and diplomacy. Establishing and maintaining current files and directory of key personnel. Responsibilities will increase and assignments will become more complex as your training and experience progress. Requirements Conditions of Employment Qualifications GS-9: To be eligible at the GS-9 level, you must have at least ONE year of specialized experience equivalent to the GS-8 level. Specialized experience is defined as serving as a secretary/assistant to a division-level supervisor (such as a Division Chief, deputy officer in a large firm, or equivalent) and performing a wide range of secretarial and administrative support functions in a legal environment. Examples of specialized experience include managing the schedule, travel, commitments and correspondence of the supervisor; arranging conferences and meetings, to include preparing agendas, notifying participants, and arranging luncheons; reviewing outgoing correspondence for the supervisor (e.g. action documents, case files, legal documents, and reports); and producing a variety of written documents utilizing varied and advanced functions in one or more @types of office automation software. To be qualified, you must @type at least 40 words per minute based on a 5 minute sample with three or fewer errors. (A typing test may later be required.) Interagency Career Transition Assistance Plan (ICTAP)- The ICTAP provides eligible displaced Federal competitive service employees with selection priority over other candidates for competitive service vacancies.
