Administrative Assistant Senior, reporting to the Public Health Nurse
Clinic Supervisor, is primarily responsible for higher-level office
administration and customer service for the Public Health Clinic. This
position provides a broad variety of projects and tasks internally as
well as in collaboration with community partners, aiding and supporting
with a variety of complex administrative duties which may include
confidential and sensitive matters. Duties include: Primarily
responsible for providing administrative and reception support for the
Public Health Clinic Serve as first point of contact for Public Health
visitors and clients; greet guests, assess needs, answer general
inquiries, and direct individuals to the appropriate program or unit
Utilize bilingual fluency to communicate effectively with clients,
ensuring accurate information exchange Answer questions regarding
programs and provide forms, applications, and other relevant information
Monitor lobby activity and maintain a welcoming environment Collaborate
with program managers and staff to support workflows, track requests,
and smooth operations across all Public Health teams Contribute to
identifying opportunities to streamline administrative processes and
improve client flow and service delivery Answer community calls,
schedule appointments, make follow-up calls, and retrieve messages;
respond to emails and web form requests Register and check-in all
clients Enter data and create reports in physical case files,
spreadsheets, and in the electronic medical records system Assist
clients with enrollment for various state assistance programs Collect
service fees in alignment with fee schedule Manage inventory of clinic
supplies including ordering, stocking, and expiration audits Monitor and
record vaccine refrigerator and freezer temperatures; promptly notify
management of any concerns or equipment issues Collect and label
laboratory specimens including urine collection for drug and alcohol
testing Assist with offsite mobile missions in a variety of capacities;
infrequent travel may be required Ensure adherence and compliance to the
policies and procedures of the federal Health Insurance Portability and
Accountability Act (HIPAA) regarding protected health information
Compile and prepare a variety of reports and records Participate in
divisional orientation, training, and staff development functions
Coordinate with various external organizations and staff and translation
service Participate in community outreach activities such as
distributing program brochures, retrieving client referrals as delegated
by supervisor, and mobile clinics Perform other duties as required or

OTHER EXPERIENCE AND QUALIFICATIONS: Experience Previous administrative
work experience with clerical and customer service responsibilities
required Bilingual fluency (English and Spanish) required Previous work
experience in a health care or clinic setting preferred Success Factors
