Role Overview:
This position is in the Facilities Department of the Workforce Development agency. It serves to support the overall agency mission to provide economic security and better employment outcomes for all Hoosiers and involves performing both administrative and physical tasks.
The administrative functions include using various computer applications such as MS Outlook, Teams, Word, and Excel.
The physical functions require using basic tools, kneeling on floors, climbing ladders, and lifting objects up to as heavy as 50 lbs. Clear, professional, and effective verbal and written communication skills are essential.
The ability to read and understand reports or instructions and apply the information accurately is also crucial.
Key duties of the position include: maintenance of the buildings, amenities, utilities, furniture, and assets owned or utilized by the agency; ensuring a safe and comfortable work environment for agency employees and visitors; operating a supply inventory of essential equipment necessary for daily agency operations; receiving deliveries and processing outbound shipments; coordinating services involving the State-contracted print-mail vendor including special print jobs and efficient mail handling; oversight of the secure access control system; maintaining multiple tracking logs; assistance in the application of the records retention processes; providing skilled onsite labor for the reconfiguration of cubicles, office modifications, and asset repairs; receipt, storage, and reissuance of used State equipment; processing transfers of unneeded State assets to the State Surplus warehouse; and performance of other special support duties as assigned by senior managers.
The Facilities Department serves as the agency's Safety team, which involves actively identifying and resolving safety hazards and assisting during medical emergencies.
The nature of the duties requires all team members to work onsite five days a week, except for holidays and approved absences. Travel to offsite locations may be required on an infrequent basis.
Exceptional customer service abilities are vital to success in the position.
Salary Statement:
The salary for this position traditionally starts at $34,216.00 but may be commensurate with education or work experience.
A Day in the Life:
The essential functions of this role are as follows:
Compile information relative to the assigned program area.
Coordinate correspondence for information requests.
Organize and maintain current and historical files related to the program.
Organize program reports, applications, and maintain consultative services.
Maintain and organize program assets.
Prepare all program related training materials.

Tact in dealing with other agency personnel and the public.
Basic knowledge of accounting principles.
A degree is not required.

Supervisory Responsibilities/Direct Reports:
This role may be utilized in a supervisory capacity based on agency needs.
