Work involves completion of general quality assurance pertaining to agency communication style guidelines, and to support Program Eligibility and Program Advancement sections. You will work under limited supervision with moderate latitude for the use of initiative and independent judgment.PRIMARY RESPONSIBILITIESSupport hiring processes including scheduling and monitoring skills assessments and interviews, assist in preparing hiring documentation. Provide onboarding and offboarding assistance, ensuring workspace is prepared, equipment is secured and staff are welcomed. Ensure distribution lists are maintained accurately and communicate with IT for necessary updates.Route, prepare, edit, proof, and distribute correspondence, reports, forms, studies, and documents in compliance with agency and section processes and procedures.Assist in the management of meetings, training, and events. Tasks may include but are not limited to reserving rooms and equipment, scheduling attendees, sending invites for meetings, and supporting digital meetings.Assist with the coordination of travel arrangements, preparing, reviewing, and routing travel documents for section management. Evaluate pre- and post-travel documents for employees of the section, review documentation for accuracy, and coordinate training or solutions to complex situations.Create and maintain tracking system(s) for monitoring various processes and office operations; assist with ordering and maintaining an adequate inventory of office supplies for the assigned TDA FN Office and help track outreach inventory; update tracking tools on a yearly basis.Assist in creating presentations and tools as needed. Tasks may include, but are not limited to, creating PowerPoint presentations, maintaining databases, compiling data, preparing various charts, graphs, and written summaries, and assisting in preparing division reports. Provide guidance to other staff as needed on areas of expertise.Explain and disseminate program information for internal and external audiences. Support cross-functional teams as appropriate, such as the FN Admin Support Team, Centralized Services, and the Regional office staff.Develop, coordinate, and maintain record keeping and filing system for correspondence, forms, reports, and documents in accordance with Agency Records Management Policy.Follow all TDA policies and procedures.Perform other duties as assigned.

Skill in spreadsheet creation and utilization as well as technical ability to learn project tracking software, such as Smartsheet.Ability to communicate effectively, both orally and in writing; to implement administrative systems and procedures; to interpret rules, regulations, policies, and procedures; to provide guidance to others; to evaluate the effectiveness of new administrative systems and procedures; to exercise sound judgment and discretion; and to maintain the highest level of confidentiality.PHYSICAL REQUIREMENTS WORKING CONDITIONSNormal office work environment and may have exposure to dust and environmental allergens consistent with normal business activities and human contact. Mostly sedentary in nature but may involve walking; standing; pulling and pushing; kneeling, stooping, and bending; performing tasks requiring fine motor skills and coordination; and safely lifting and carrying items weighing up to 30 pounds. Must be able to work extended periods at a computer and may require working extended hours and some evenings and weekends, as needed.
