Summary Employee will serve as a Program Support Assistant within Patient Care and Nursing Services at the James A. Haley Veterans' Hospital in Tampa, FL. Responsibilities THIS IS NOT A VIRTUAL POSITION, YOU MUST LIVE WITHIN OR BE WILLING TO RELOCATE WITHIN A COMMUTABLE DISTANCE OF THE DUTY LOCATION Duties will include, but may not be limited to the following: Delivers advanced operational and organizational support, managing the day-to-day use of the nursing promotional platform and maintains a comprehensive database of over 1,500 active nursing employees, including tracking, monitoring, and updating promotional platform and documents. This requires administrative/technical support to the Nurse Qualification Standards Station Advisory Committee and collaborating with hiring managers, human resources, and committee members for completeness/accuracy/timeliness. Serves as central resource for routine policy interpretation and office coordination, supports process improvements and performs critical functions such as promotions, boarding/board appointments. Creates, edits and stores documents and coordinates the routing and finalization of the correspondence. This also includes logistical support such as scheduling, preparing agendas and meeting minutes, procedures, and tracking action items, Prepares travel documents, processing vouchers and correspondence, technical report development, file and mail management, and adherence to security procedures. Receives, logs, and monitors service requests and work orders using established tracking systems. Serves as timekeeping resource, proficient in daily entry and verification of employee tours of duty, leave requests, and approved pay in the time and attendance system. Provides guidance on pay system policies and procedures. Clearly communicate deadlines, policy updates, and procedural requirements to staff to promote compliance and accountability. Prepare timekeeping reports for relevant departments and management. Uses Microsoft Office products, Adobe Pro, Power App, Visio and other electronic media and various databases to complete tasks. Qualifications SPECIALIZED EXPERIENCE: Requires one full year of specialized that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to this Program Support Assistant position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-5) in the Federal service. Specialized experience includes: providing administrative and logistical support, using Microsoft products, Adobe and other electronic media and various databases to create, edit and store documents, and prepare reports to include scheduling, preparing agendas and meeting minutes, procedural documents, and tracking action items; performing timekeeping (data entry, duty hours verification, leave requests); and preparing travel documents and processing vouchers.
