Description We are looking for a detail-oriented Administrative Assistant to support daily office operations. This contract-to-permanent opportunity is ideal for someone who enjoys keeping schedules organized, handling front-desk communication, and ensuring administrative processes run smoothly. The role requires strong coordination skills, accuracy in data management, and the ability to provide a positive experience for callers, visitors, and internal teams.

Responsibilities:

Manage incoming calls and greet visitors courteously, directing inquiries to the appropriate person or department.

Coordinate, schedule, and confirm appointments while maintaining organized calendars and minimizing conflicts.

Enter and update office records, customer information, and scheduling details with a high level of accuracy.

Provide day-to-day administrative support to help maintain efficient office operations and timely communication.

Assist with receptionist functions, including monitoring front-desk activity and responding to routine requests.

Prepare, organize, and maintain administrative documents, logs, and related office materials.

Support teams with appointment coordination and follow-up communication to keep activities on schedule.

Contribute to office workflow in a construction-related environment by helping manage administrative tasks tied to project support. Requirements - Experience in administrative support, office coordination, or front-desk operations.

Ability to handle inbound phone calls with attention to detail and a customer-focused approach.

Strong data entry skills with close attention to detail and accuracy.

Proven experience scheduling, booking, and confirming appointments.

Comfortable performing receptionist duties and managing multiple priorities throughout the day.

Proficiency with general administrative office tasks, including recordkeeping and communication.

Strong organizational skills and the ability to work effectively in a fast-paced setting.

Previous experience supporting a construction industry environment is preferred. TalentMatch®
