The Position:
Provides specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties. Executes data analysis tasks, coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Maintains department files and schedules meetings, and may manage calendar for executive levels and ensure timely response to meeting requests and messages. Work is generally of a confidential nature.
Administrative Activities
Provides specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties.
Executes data analysis tasks.
Coordinates activities between departments and outside parties.
Maintains department files and schedules meetings.
May manage calendar for executive levels and ensure timely response to meeting requests and messages.
Project Related Activities + Site Related Activities
Performs various cost control functions and assist on special projects. Activities include preparation, analysis, and processing of data and reports required for general budget administration and project scheduling.
Creates productivity statistics based on key business drivers and partners with Management information to develop appropriate reporting.
General Office: Managing office equipment, facility cleanliness, vendor relations (e.g. pantry suppliers, janitorial staff)
Operational Support: Ordering office supplies, managing inventory, handling general reception duties for Visitors/Executives/Customers, filing and tracking facility related tickets.
Financial Recordkeeping and Expense Management: Assisting team with Purchase Requests (PR's), filing Credit card and P-Card receipts, Managing Amazon purchases etc.
Pantry Management: Pantry inventory and supplies, Party supplies, Order Catering etc.
Reporting/Documentation Related Activities
Contacts company personnel at all organizational levels to gather information and prepare reports.
Generate status charts and reports for various departments as needed.
Based on specific business requirements, develops various analysis reports for Senior Management to assess current/historical trends and the potential impact on future profitability.
Compile and prepare financial data used in management presentations. Perform variance analysis and "Actual to Plan Reporting".
Any other duties a required.
The wage range of?$27.88 - $47.12 is just one component of Panasonic's total package. Actual compensation varies depending on the individual's knowledge, skills, experience, and location. This role may be eligible for discretionary bonuses and incentives (please also ensure to include a full list of "other forms of compensation" applicable to any posting too, and this would include GEB, NQDC, commissions, profit-sharing, as just some illustrative examples). The minimum hourly wage for this role will be the greater of the posted range, or minimum wage for the location where the employee will be working, subject to local minimum wage requirements.
What We're Looking For:
High School diploma or equivalent Internationally recognized qualification.
6+ years of related experience.
Expert level of skills in the use of MS office suite of software applications i.e. Excel, Word, and PowerPoint.
Experience with Oracle systems and expertise in creating and managing Purchase Requisitions, is a plus.
Possess the mobility to work in a standard office setting and to use standard office equipment, including a computer, and to attend meetings.
Ability to lift and carry materials weighing up to 10 pounds; vision to read printed materials and a computer screen; and hearing and speech to communicate in person and over the telephone.
Excellent communicate skills, in English, both in writing and verbally to all levels of the organization as well as external customers.
Ability to be discreet with confidential matters and maintain compliance with Panasonic's corporate security policy (ISM).
Ability to greet visitors and conduct business by phone and E-mail in a friendly, professional manner.
Ability to quickly, easily, and without delay, travel between various buildings within the Panasonic Avionics Corporation campus.
Demonstrated professionalism and ability to protect controlled information.Practiced ability to analyze and resolve problems, organize own work, coordinate projects, multi-task and set priorities.
Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations.
Normally receives little instruction on daily work, general instructions on newly introduced assignments.
Willingness to support other departments as needed.
Working Conditions/Environment:
Primarily work in office setting indoors at desk.
