Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support Project Management and Field teams in a fast-paced construction environment. This role is responsible for keeping documentation, communication, scheduling, and project-related administrative processes on track from project kickoff through closeout.

Responsibilities

Provide daily administrative support, including answering phones, scheduling meetings, filing, copying, scanning, data entry, and visitor support.

Assist with preparing and submitting bids, proposals, and other project documentation.

Support projects from setup through closeout by organizing records, tracking milestones, maintaining files, and preparing final closeout materials.

Manage transmittals, submittals, O& M manuals, warranty letters, and closeout packages.

Administer insurance certificates and bonds, including bid, payment, and performance bonds.

Process contracts and change orders, route for approval, and distribute finalized copies to internal teams, including accounting.

Maintain Potential Change Order (PCO) records in ProjectSight and reconcile project change information with accounting documentation.

Coordinate meetings, travel, and occasional office or job-site events.

Copy, scan, and distribute drawings and other project materials as needed.

Requirements - At least 2 years of administrative experience, with construction industry exposure preferred.

High school diploma or equivalent required.

Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.

Experience using Adobe Acrobat and Bluebeam for document handling and markup.

Strong organizational skills with the ability to manage multiple priorities and deadlines.

Clear verbal and written communication skills, including detail-focused administrative correspondence.
