Duties Description The Administrative Assistant 1 will provide administrative support to the Bureau of Perinatal, Reproductive, and Sexual Health (BPRASH), a Bureau that includes ten programmatic Units and approximately 70 staff. Specific duties include, but are not limited to: Assist with maintaining Bureau calendars; Schedule in person and virtual meetings (using technology such as WebEx and Microsoft Teams) and provide meeting coordination and technical support as needed; Answer and refer telephone calls; Update electronic tracking systems and monitor status of approval packages; Review outgoing correspondence; Maintain electronic filing and storage for documents; Monitor Bureau shared mailbox and assist with response to public inquiries; Operate office equipment such as printers, scanners and copiers; Distribute incoming mail; Assist staff with making travel arrangements and securing travel approvals; Coordinate supply orders; Other duties as assigned.
Minimum Qualifications Transfer Opportunity: Current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service as an Administrative Assistant 1 (formerly Secretary 1); OR current New York State employee with one year or more of permanent, contingent-permanent, or 55-b/c service in a position allocated to a Grade 6 and above and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1.NY HELPS: Administrative Assistant Trainee 1 (Grade 8): High school diploma or high school equivalency diploma and six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.Administrative Assistant Trainee 2 (Grade 10): High school diploma or high school equivalency diploma, and one year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management of an office.Administrative Assistant 1 (Grade 11): High school diploma or high school equivalency diploma; and two years of the above experience.A certification (e.g., IAAP Certified Administrative Professional) or associate's degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology may substitute for two years of experience.The selected candidates must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.Preferred Qualifications: Experience with Microsoft Office Suite, including Word, Excel, PowerPoint and Teams, SharePoint, and WEBEX. Strong organizational skills and attention to detail. Able to handle multiple priorities in a fast-paced environment. Excellent written and verbal communication skills.
