Summary The Primary Purpose of this Position is: To perform a variety of clerical, administrative and technical duties in support of Education Service. The Organizational Location of the Position is: Office of the Associate Chief for Education; Chief of Staff Office, VA North Texas Health Care System, Dallas, TX. Responsibilities Duties Include but are not limited to: Troubleshoots problems with Education Training Software and inputs and assigns user access and provides training to users as instructed. Runs various reports for VANTHCS offices as requested. Generates Education/Training Completion and Deficiency Reports. Resets passwords and troubleshoots Unmapped Accounts. Reviews training information to determine if employees/services are completing training in a timely manner and ensures employees are mapped to their supervisor within established timeframes. Recommends and/or conducts training for service employees if deficiencies are due to software difficulties. Inputs Work Order requests into the VAMC Help Desk System for all users who require education tracking software on their machines and for trouble shooting of this program. Performs the TMS Managed Self Enrollment (MSE) function for the Education service by validating and tracking required training of students in the system. Coordinates this role throughout VANTHCS and assures that MSE accounts are processed in a timely manner. Coordinates administrative activities for the financial support of students, residents, and fellows active at VANTHCS. Coordinates with all services with students on the documentation required by the Office of Academic Affairs (OM) for financial support of students. Reconciles vouchers submitted by academic affiliates for payment, resolving disparities between VA records and affiliates. Tracks expenditures of funds, maintains databases on same and assists in management of FCPs involved in these payments. Tracks and assists in payment of other educational funding requirements such as CME reimbursement, tuition support, meal tickets, and other educational programs. Provides program, administrative, and clerical support to others in and outside Education Service as directed. Answers phone inquiries for Education Service, preparing needs assessments, preparing and assembling various education materials to include binders and surveys as instructed. Secures space for training and meetings, maintaining records, ensuring that proper video equipment is requested and support from Information Technology Service is secured. Collects and analyzes data for the purpose of preparing various monthly,- quarterly, and annual reports. Prepares and distributed weekly meeting minutes for Education Service. Establishes and maintains a suspense system using a date file to ensure internal and external reporting deadlines are met. Serves as backup for the Program Specialist to answer inquiries about tuition and travel reimbursement including fund control points, reconcile resident meals tickets. Other duties as assigned. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 04/23/2026. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service.
