Pay Range:**
School Secretary: $21.10-$23.63/hr, based on qualifications and experience
Health Technician: $20.20-$22.62/hr, based on qualifications and experience
Hours/day: 8 total (5 hours School Secretary, 3 hours Health Technician)

SUMMARY (School Secretary): **
Responsible for performing secretarial and administrative duties for an elementary school administrator, office, or program, including implementing school and attendance safety protocols, attending to calls and visitors, producing correspondence, entering data, supporting the health tech with student health care, maintaining records and files, registering new students, and using inclusive and culturally sustaining practices to ensure all community members feel welcome in our schools.
SUMMARY (Health Technician):
Responsible for coordinating and collaborating with the school nurse to provide health care, first aid, medications, and/or assistance with medical procedures to students. Maintain and compile a student health records and files database and health-related reports and documents.
JOB TASKS (School Secretary):
Serve as the first point of contact for parents, visitors, and volunteers, ensuring adherence to building safety protocols and inclusive, culturally responsive practices to build positive relationships. Manage visitor/volunteer check-ins with our security software. Support dismissal processes to ensure student safety.
Oversee daily student attendance using the student information system, email, and phone records. Implement attendance safety protocols, including direct parent/guardian contact for unreported absences, and support the development and execution of truancy/attendance plans.
Lead student enrollment and withdrawal processes, ensuring compliance with district policies and state regulations. Counsel families on educational opportunities, support them through online registration and school of choice applications, and facilitate smooth transitions for incoming and outgoing students.
Maintain accurate and up-to-date student records in the student information system, including personal, demographic, and health data. Generate reports, build and maintain teacher's schedules in the student data management system. Ensure proper student placements, including connections and supports for specialized services such as English Language Development, Individualized Education Plans, McKinney-Vento, etc.
Provide first aid and administer medications following district and state guidelines. Support students with behavioral health needs and actively participate as a member ofthe school crisis response team.
Maintain student cumulative records, transcripts, and permanent files in compliance with FERPA and other legal requirements. Facilitate the transfer of records between schools, ensure accurate grade processing, and support families with academic history entries. Intake legal documents following district protocols including court orders and custody agreements as needed.
Create, format, and distribute newsletters, memos, forms, and other school communications. Assist in the implementation of robocalls, mailings, and other outreach efforts to engage the school community.
Schedule meetings, appointments, and building use while managing mail distribution and processing mass mailings. Ensure efficient coordination of logistical and operational needs for the school.
Accurately report October Count data and monitor student numbers to support student-based budgeting processes, ensuring compliance with district and state guidelines.
Perform other duties as assigned.
JOB TASKS (Health Technician):
Evaluate and attend to students visiting the health office; provide emergency and routine health care and/or first aid, administer medications through a needle, feeding tubes, rectal, oral, or topical routes adhering to district and state procedures, and perform delegated medical procedures. Contact parents and school nurse as needed. Collaborate with building administration and nurse when calling 911.
Maintain health office records, including all office visits, phone calls, collection and uploading of Health Care Action Plans (HCAPs), immunizations, medications, vision and hearing results and referrals, cumulative health information, and accident and injury records.
Enter data into the computerized health office log to document health office student visits, procedures, and medication administration, as well as the action taken/dispensed in real time.
Coordinate student health needs between teachers, nurses, and parents.
Maintain the health office cleanliness, take inventory, and order health office supplies and equipment as needed.
Prepare medications for all school-sponsored trips. Coordinate with trip sponsor and nurse to ensure time is adequate for delegation.
Assist in maintaining health records, coordinating screenings, and providing health services to pre-K students as needed in elementary schools.
Type correspondence, newsletters, forms, and memos in collaboration with school nurse.
Conduct student vision and hearing screenings. Assist with planning and preparation as well as participation and follow-up on all referrals in collaboration with school nurse.
Gather data and prepare reports, including but not limited to, health condition reports, immunization reports, and hearing and vision screenings. Work with nurse on monthly medication audits, run report and double count to ensure medication counts are accurate.
Attend required training classes and district health technician meetings. Complete online professional development training as required.
Assist in notifying parents of immunization and exemption requirements. Gather immunizations records and enter into electronic record.
Perform other duties as assigned.
EDUCATION, EXPERIENCE, AND LICENSES REQUIRED (School Secretary):
High school diploma or equivalent required; associate degree or college coursework preferred
Two to three years of related experience preferred
Equivalent combination of education and experience acceptable
Criminal background check required for hire
Successful completion of First Aid and CPR, and Administering Medication in a School Setting (if not currently certified, successful completion must be done at earliest convenience after hire)
