Description We are looking for an experienced Administrative Assistant to join our team on a contract basis in Salem, Massachusetts. In this role, you will play a vital part in maintaining the efficiency of day-to-day operations, ensuring smooth coordination and support for various administrative tasks. This position offers flexibility with both onsite and hybrid work arrangements, depending on the needs of the business.

Responsibilities:

Coordinate and schedule clinical sessions, safe labs, and related activities, ensuring all participants are informed and prepared.

Assist in organizing and proctoring exams, including securing room assignments and monitoring testing environments.

Input and maintain schedules and important dates in organizational systems, keeping all records accurate and up to date.

Attend meetings, take minutes, and translate actionable items into tasks to support team objectives.

Manage office supplies by ordering and restocking as needed to ensure smooth operations.

Provide timely reminders to students and staff about deadlines, class requirements, and other critical information.

Support the team by handling clerical tasks and easing workload pressures through project-based assistance.

Administer books and materials to students and faculty, ensuring proper distribution.

Handle data entry tasks and maintain organized records across management systems.

Serve as a point of contact for inquiries, answering inbound calls and addressing administrative concerns. Requirements - Proven experience in administrative roles, showcasing strong organizational and time management skills.

Proficiency with technology and systems; familiarity with platforms like Canvas is a plus but not required.

Excellent communication skills, both written and verbal, for interacting with diverse teams and stakeholders.

Ability to multitask effectively and prioritize responsibilities in a dynamic environment.

Detail-oriented approach to managing schedules, records, and logistical arrangements.

Comfortable with proctoring exams and monitoring testing environments as needed.

Adaptability to learn new systems and processes quickly to support team objectives.
