The overall function of this position is to provide administrative assistance and support for the bridge inspection, bridge maintenance, and movable bridge Units, 051, 720 and 910. This position also serves as the backup Administrative Coordinator for the signs/signals, striping, and roadside development Units, 750, 777, and 765. This position is located in Lake Charles, District 07/Unit 720, of the Department of Transportation and Development and reports directly to the Bridge Inspection/Maintenance Engineer, Engineer 6.
Applicants with the following specialized knowledge, skills, and abilities are encouraged to apply:
Ability to maintain confidential files on employees, including personnel, training, small tools, and productivity used for Performance Planning and Review forms
Working knowledge of SAP (Plant Maintenance, PTMW, MIGO, IFCU, IW21-Notification, and IW31-Work Order), Agile Assets (La.GOV), and Microsoft Office software
Ability to @type, use a two-way radio, personal computer, fax machine, copier, PDAs, and printers

Minimum Qualifications
Three years of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will be credited as six months of experience.

Job Duties and Other Information
Job Duties:
Prepares, enters and edits Daily Work Reports for maintenance Administrative units, which includes information on materials and equipment used as well as man hours spent in the Agile Assets, Plant Maintenance, and PTMW systems.
Creates and maintains bridge, correspondence, project, and personnel files. Creates, submits, and files correspondence with local authorities regarding bridge inspection findings. Creates work requisitions and work orders.
The Administrative Coordinator is required to prepare special complex reports in assisting the Bridge Inspection and Maintenance Engineer in compiling data for bridge inspections.
May serve as a liaison and/or contact person between local government authorities, utility companies, railroad companies, State Police, DEQ, Poison Control, DOTD personnel, and others depending on the nature of the situation. Upon notification of dangerous road hazards or bridge damage, will route employees to repair.
Routes complaints to proper office or person.
Maintains complex Loss Prevention files on equipment maintenance, building inspections, safety meetings, MSDS, etc. in compliance with the Loss Prevention Audit. The incumbent assists with emergency purchases and assists in verifying and turning in documents for purchases.
