Position Description:
Performs support and coordinative work in direct support of an administrative team of a specific administrative office or department. Coordinates and assists with functions such as planning, researching, budgeting and program implementation and evaluation. Performs responsible and complex office support duties, thus relieving the administrator of these duties. Work is performed under administrative supervision.

Major/Essential Functions:
Assist with greeting visitors, answering requests, and managing phone calls for the INHS admin office.
Assist the INHS Business Manager in ensuring appropriate Office Coverage, including the lunch hour from 8 a.m. to 5 p.m.
Coordinate the semesterly update of all directories, listservs, & emergency contact lists.
Assist undergraduate and graduate students and faculty as needed.
Serves as Department Scholarship Coordinator-Manages the competitive (committee-based) scholarship process following the College of Health and Human Sciences policies and procedures.
Process Work Orders and Project Requests.
Process Key Requests.
Process Surplus Furniture Requests.
Attend weekly check-in meetings with the Business Manager and TTU Procurement Forums when scheduled.
Lead Emergency Action Coordinator

Other duties as assigned.
Manage the graduate recruitment scholarship process and fellowship process.
Tracks awards to enable tracking of acceptance and/or declinations.
Responsible for notifying students of awards and ensuring that all acceptance requirements are met.
Assist the Business Manager with entering and tracking awards in the required format for graduate resource allocation tracking.
Work with the Business Manager and Chair to schedule teaching assignments each semester, requiring coordination with all Program Directors.
Course Scheduling Liaison. Assists the Chair/Associate Chair in implementing and coordinating the class schedules, including listing instructors, times, and room assignments in Banner. Build all courses in the Registrar's Schedule Builder dashboard.
Collaborate with the Associate Chair and Program Directors on course catalog updates.
Point of contact for textbook orders from the bookstore and request desk copies when needed.
Maintain confidential student files for all academic programs, including applications, letters of recommendation, transcripts, degree plans, grade changes, etc. This is done in conjunction with the Business Manager, who will maintain the hiring documents to include credentialing in the graduate student files.
Assist graduate faculty with facilitating graduate examination processes (qualifying exams), including scheduling Defenses and Qualification Exams, and reporting results to the Graduate School.
Work closely with Program Directors to onboard graduate students and guide them through their degree plans. Send reminders regarding Graduate School deadlines and follow up with students as needed.
Assist with filing paperwork with the graduate school, such as registration time tickets and other needs as identified.
Coordinate Orientations for the INHS graduate programs.
Collaborate with TTU Online to recruit and market online programs.
Collaborate with Program Directors to maintain accurate and up-to-date program information on departmental websites.
Maintain inventory of and update recruitment materials (department brochures/handouts).
Coordinate data collection (student exit surveys, alum surveys, employer surveys, market wage surveys) for academic program improvement, recruitment, and retention.
