Overview:
Direct and manage the reconstruction division for residential and commercial losses. Own divisional gross profit, cash flow, and operational performance by ensuring projects are properly estimated, staffed, scheduled, documented, completed, billed, and collected in compliance with company standards and carrier/client requirements. Drive margin, accountability, cycle time, quality, customer satisfaction, and team and subcontractor performance from intake through final collection and file closure.
Description:
Lead all aspects of the operations of the reconstruction division with a focus on aggregate revenue and profitability.
Oversee daily scheduling and dispatch, staffing, time-off coordination, and fleet/vehicle usage as assigned.
Make job acceptance decisions in collaboration with Sales department and Company leadership.
Regularly review all leads and active files to ensure timely progression from handoff through file closure.
Lead weekly review meetings with Project Managers and Coordinators.
Assign Project Managers, field resources, and subcontractors as needed to meet service, schedule, and profitability goals.
Ensure job progress is accurately reflected in company systems (Restore365).
Monitor workload, backlog, cycle times, WIP, aged jobs, and production capacity; resolve stalled approvals, unresolved supplements/change orders, and delayed closeout items.
Own divisional and job-level revenue, gross profit, cash flow, and margin performance.
Create, monitor, and manage job budgets.
Review job costing, labor productivity, subcontractor spend, change orders, estimate-to-actual performance, payment information, and WIP.
Identify margin issues and/or underbilled or overspent jobs; direct corrective action.
Review estimates, supplements, exceptions, and change orders for accuracy, profitability, and program compliance; assist with responses to carrier/client/program feedback.
Assist with complex files as needed, including estimate and supplement review and job oversight.
Ensure all jobs meet Company, insurer, and TPA standards as well as building code, permitting, and industry partner scorecard requirements; implement corrective action when results fall below expectations.
Maintain and monitor industry partner scorecards; direct corrective action when any scores fall below standards.
Manage subcontractors and vendors, including qualification, vendor list maintenance, insurance/compliance review, and performance oversight.
Hold subcontractors accountable for schedule, workmanship, communication, documentation, cost control, safety, and closeout requirements.
Ensure prompt response to customers, adjusters, program contacts, vendors, and subcontractors in accordance with all applicable guidelines, including timely emails, calls, updates, and job notes.
Ensure required notes, photos, contracts, authorizations, purchase orders, compliance tasks, and other file documentation are complete, accurate, and uploaded within required timeframes.
Hold Project Managers and other reconstruction division staff accountable for timely compliance with documentation requirements.
Complete regular file audits and site visits to verify scope, progress, quality, safety, customer communication, subcontractor performance, and adherence to department procedures; review punch lists, final completion status, and file closeout requirements.
Train, coach, and evaluate department personnel as needed.
Delegate administrative, research, data-entry, and coordination tasks as appropriate; retain accountability for department financial and operational results.
Manage department supplies, tools, fleet coordination, and operational resources as assigned.
Maintain working knowledge of company procedures, carrier/client guidelines, job tracking and estimating systems, and applicable restoration/reconstruction standards.
Participate in meetings as required, support cross-department coordination, and respond to on-call or emergency situations requiring reconstruction department support.
Qualifications:
Minimum ten (10) years of restoration, reconstruction, construction, or project management experience preferred, including progressive leadership responsibility.
Ability to run and manage multiple projects at once.
$1+ million dollar project experience preferred.
Experience working with insurance carriers, TPA programs, and SLA-driven environments strongly preferred.
Management Skills:
Strong leadership and management skills, with the ability to direct and develop Project Managers, Coordinators, field personnel, and subcontractors in a fast-paced reconstruction environment.
Must be able to drive accountability, enforce standards, and manage performance across production, customer service, documentation, and financial results.
Sound judgment, clear communication, strong organizational and problem-solving skills, and the ability to prioritize competing demands while maintaining control of schedule, quality, cost, and profitability.
Must be capable of coaching team members, addressing performance issues, resolving conflict, and making timely decisions that protect both customer outcomes and division margin.
Technical Skills:
Proficiency in Xactimate, XactAnalysis, Restore 365/CRM or comparable restoration management systems, job costing, reporting/dashboard tools, and reconstruction documentation processes.
Analytical Skills:
Ability to review estimates, supplements, budgets, job costing, WIP, cash flow, billing, collections status, and profit/loss data.
Computer Skills:
Ability to manage digital documentation, dashboards, reporting, client/program portals, and file compliance using company systems and estimating software.
Certificates, Licenses, and Registrations:
Valid driver's license with acceptable driving record required. Industry certifications preferred but not required.

Pay and Benefits
The pay range for this position is $120000.00 - $130000.00/hr.
