Executive Assistant (EA) - Job Description

Overview

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide dedicated administrative support to senior leadership. This role requires exceptional communication skills, strong scheduling and coordination abilities, and the capacity to manage priorities in a fast-paced environment. The ideal candidate has recent experience supporting executives and thrives in a role that requires problem-solving and professional judgment.

Key Responsibilities

Manage complex calendars, schedule meetings, coordinate travel, and maintain executive agendas.

Act as a primary point of contact between leadership, internal teams, and external partners.

Prepare meeting materials, draft correspondence, and manage email communications on behalf of leadership.

Track follow-ups, deadlines, and deliverables to ensure executive priorities stay on schedule.

Organize and support executive-level meetings, including preparing agendas, taking minutes, and distributing action items.

Handle confidential information with the highest degree of discretion.

Assist with project coordination, research, and preparation of presentations or reports (non-financial).

Maintain organization of executive documents, digital files, and task lists.

Anticipate executive needs and proactively remove administrative barriers.

Requirements

Required Qualifications

3+ years of recent experience as an Executive Assistant, Administrative Assistant, or similar support role.

Proven experience supporting senior-level leaders in a corporate or fast-paced environment.

Strong proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel for basic tasks only).

Excellent written and verbal communication skills.

Outstanding time-management and organizational abilities.

Demonstrated ability to prioritize multiple tasks and adjust to shifting deadlines.

High level of professionalism, discretion, and interpersonal tact.

Ability to work independently and take initiative without constant direction.

Preferred Qualifications

Experience coordinating executive calendars, domestic/international travel, and high-level meetings.

Experience supporting more than one leader simultaneously.

Familiarity with project management or collaboration tools (Teams, SharePoint, OneNote, Asana, etc.).

Strong problem-solving skills and the ability to anticipate needs before they arise.
