Job Focus Area
The Administrative Program Specialist A is located within the Office of Teaching and Learning and provides administrative and operational support to the Division of Numeracy, while also assisting the Office of School System Relations as needed. This position plays a critical role in coordinating administrative functions, supporting leadership, and ensuring the effective management of contracts, grants, and division operations.

The ideal candidate demonstrates strong organizational, communication, and multitasking skills, with the ability to manage multiple priorities in a fast-paced environment. Preferred qualifications include:
Experience as an administrative assistant, secretary, or comparable support role
Strong written and verbal communication skills, with the ability to work independently and proactively
Experience providing programmatic and administrative support across teams or divisions
Knowledge of fiscal processes and budget management
Experience creating, maintaining, and managing accurate records and documentation
Proficiency with standard office technology, including Microsoft Office and Google Workspace (G Suite)
Relevant administrative or secretarial training and/or certifications (preferred, but not required)
Minimum Qualifications
Three years of experience in administrative services; OR
Six years of full-time work experience in any field; OR
A bachelor's degree.
EXPERIENCE SUBSTITUTION:
Every 30 semester hours earned from an accredited college or university will be credited as one year of experience towards the six years of full-time work experience in any field. The maximum substitution allowed is 120 semester hours which substitutes for a maximum of four years of experience in any field.

Job Duties and Other Information
Job Duties:
Job Duties and Responsibilities include, but are not limited to:
Serves as a liaison and primary point of contact for the division, facilitating communication and coordination across divisions, departments, vendors, and external agencies.
Ensures all travel documentation is completed accurately and in accordance with agency policies and timelines.
Provides direct administrative support to the Deputy Assistant Superintendent, Division Director, and Deputy Chief of Staff, including managing requests in a timely and efficient manner and handling designated administrative responsibilities.
Develops and maintains procedures, timelines, and processes for the management and monitoring of contracts and grants across the office. This includes coordinating with program managers, communicating updates, scheduling meetings, and presenting relevant information as needed.
Collaborates with program administrators and project managers to develop a thorough understanding of contract deliverables, scopes of work, and associated timelines for vendor agreements with the State.
Conducts initial reviews of contracts and contract amendments to ensure completeness, accuracy, and compliance with submission requirements.
Performs additional duties as assigned by the Division Director, Deputy Chief of Staff, Assistant Superintendent, and other leadership staff.
Position-Specific Details:
Appointment Type: Probational, Promotional, or Job Appointment. The person hired for this position is expected to regularly report to the Baton Rouge office. Current permanent classified state employees may be required to accept a probationary appointment, if selected.
Career Progression: This position does not participate in a Career Progression Group.
Work Schedule: Work hours are Monday - Friday. Work hours will be determined.
Compensation: The salary offered will be determined based on qualifications and experience.
