As an Executive Assistant, you will work directly with OCON leadership to optimize daily productivity using organizational skills to facilitate program operations, plan and manage administrative services, conduct management studies which enhance operations, and coordinate executive activities. Responsibilities Organizational Location: This position is located in the Department of Homeland Security, U.S. Citizenship and Immigration Services, within the Office of Contracting and are assigned based on the need of the agency. Manages organizational efficiency and effectiveness, coordinating program functions, and providing advisory services to leadership and staff. Plans, develops and recommends internal policies, issuances, and directives for administrative and management services within OCON. Arrange travel for the HCA and DHCA to attend acquisition conferences, site visits, and interagency meetings. Prepare travel authorizations, itineraries, and process travel reimbursements. Liaison between the Chief and Deputy Chiefs office and stakeholders, within USCIS, the interagency, and the private sectors, to coordinate and track matters dealing with administrative functions. Manages and monitors executive staff schedules to ensure meetings and other events are up-to-date and arranges coverage when absent, ensuring briefing materials are received timely. Maintain confidentially and security of sensitive procurement and personnel information, including pre-award and post-award data, and exercise discretion in all matters. Assist with planning, tracking milestones, gathering and analyzing data, coordinating inputs from contracting offices and program stakeholders, preparing status updates and briefings, and monitoring completion of assigned actions.
