Job Summary
Disability Access Services is seeking an Operations Manager. This is a full-time (1.0 FTE ), 12-month, professional faculty position.
Disability Access Services ( DAS ) actively works towards equitable and accessible experiences for students with disabilities at Oregon State University ( OSU ). DAS serves the mission of OSU by providing access to educational opportunities to a population that has historically been disadvantaged in higher education: students with disabilities. DAS supports disabled students by providing reasonable and appropriate accommodations as required by Federal and State laws.
The purpose of this position is to ensure the smooth and efficient daily operations of Disability Access Services. The Operations Manager supervises the office's support staff and serves as the office's key contact with human resources, finance department, procurement, printing and mailing, and payroll departments among others. The Operations Manager supports the operations by providing planning, management of support services, arrangement of activities, budget oversight, and assists with program policies, operating and administrative procedures. The Operations Manager provides direct administrative support to the Assistant Dean and Director ( ADD ) of Disability Access Services.

Key Responsibilities
45% DEPARTMENT HUMAN RESOURCES & BUDGET OVERSIGHT
Develops and recommends program budgets in consultation with the DAS ADD and the finance department.
Tracks monthly budget reports, including tracking and reconciling purchases and appropriate distribution of funds into appropriate fund codes, in consultation with the ADD .
Processes DAS invoices and bills and codes correctly to ensure charges are recorded appropriately.
Acts as DAS' subject matter expert for procedures related to University credit cards and general office purchases, responsible for completing annual renewal forms, completing monthly reconciling of bills and working with staff on proper use of credit cards.
Completes forms for communication allowances, overload pay and stipends, as needed.
Works with the Foundation for reimbursements or decisions regarding DAS accounts.
Responsible for overseeing OSU / DAS student scholarship processes, working with the applicants, scholarship office, scholarship committee, and OSU Foundation.
Works with HR for any DAS related items including but not limited to hiring of professional staff, graduate assistants, temporary and student employees.
Oversees DAS' hiring process, using the university's online recruiting system.
Conducts onboarding process with all new employees using the DAS onboarding guidelines. Updates and suggests changes/updates to the process as needed.
Responsible for archiving student workers and deleting user profiles according to retention guidelines within DAS' AIM database.
40% OPERATIONS MANAGEMENT / SUPERVISION
Supervises front desk staff including planning, assigning, approving, and reviewing work; conducting regular performance evaluations; coordinates workflow and approves time off requests; monitors attendance, reviews and approves electronic timesheets; manages front desk when staff are absent
Provides statistical data and assessments regarding DAS students to internal OSU partners, external partners (the state, OSU Board, etc.), and others as requested.
Researches, develops, recommends, and implements plans to meet goals established by the Director.
Develops and recommends internal policies and operating and administrative procedures.
Identifies and recommends solutions to DAS needs and requirements.
Oversees supplies inventory and ordering for DAS .
Oversees DAS responsibilities for keys, telephone, safety training, building responsibilities, etc.
Manages space inventory for DAS offices.
Acts as the point person to schedule and manage DAS events and DAS involvement in campus events, including
DAS retreats, tabling events, etc.
Participates and cooperates with other staff in efforts designed to accomplish specific program goals.
Guides and manages assessment tasks, surveys, and reports.
Identifies training and professional development needs of staff and identifies opportunities for cross-training as contingency planning for extended staff absences, vacations and vacancies, in consultation with the Director.
Coordinates and negotiates contracts for services from vendors and individual contractors, working with procurement partners to ensure documentation in internal OSU systems
15% GENERATES CREATIVE AND PRACTICAL SOLUTIONS TO ADDRESS CURRENT AND EMERGING NEEDS
Maintains necessary records, produces reports and analysis of data and trends.
Meets with prospective students to provide a general overview of services and scholarships available to students with disabilities.
Acts in conjunction with the Assistant Director on AIM database management.
Acts in conjunction with the Assistant Director DAS Technology on the maintenance of the DAS website.
Assists with the delivery of other services as appropriate.
Participates in Student Affairs and Office of the Dean of Students activities, events, and professional development.

What You Will Need
Bachelor's degree in Sociology, Liberal Arts, Business, Psychology, Counseling, Education or related field,
OR
A Bachelor's degree in any field with an additional year of experience working in a position with progressive administrative responsibilities.
1 year of experience working in a position with progressive administrative responsibilities and experience managing administration and operations.
Experience with various computer applications (ex: Microsoft Office Suite, Banner, Qualtrics, etc.).
Excellent communication skills, written and verbal.
Works well independently and as a collaborative team member.
Proven ability to mentor student workers.
Commitment to an inclusive work environment.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
What We Would Like You to Have
MA or MS
OR
A minimum of 6 years' experience working in a position with progressive administrative responsibilities.
Previous experience in budget management or other financial work.
Previous experience working with systems used by the university (e.g., Concur, Benny Buy, Benny Hire).
Experience working with or for a program supporting persons with disabilities.
Supervisory experience.
Working Conditions / Work Schedule
Office environment, typical schedule is Monday-Friday 8am-5pm, occasional evening and/or weekend work required, and occasional travel required.
