Position Summary

We are seeking a detail-oriented Accounts Payable Specialist to support the day-to-day accounts payable operations. This role is responsible for processing invoices, ensuring accurate and timely payments, maintaining vendor relationships, and assisting with month-end close activities. The ideal candidate is highly organized, comfortable working with large volumes of transactions, and able to collaborate cross-functionally with internal teams and external vendors.

Key Responsibilities

Process high-volume vendor invoices and ensure proper coding to the general ledger

Perform 3-way matching between purchase orders, invoices, and receiving documentation

Review invoices for accuracy, approvals, and compliance with company policies

Prepare and process weekly payment runs (ACH, wire transfers, and checks)

Maintain vendor records and assist with vendor onboarding and W-9 collection

Respond to vendor inquiries and resolve payment discrepancies in a timely manner

Reconcile vendor statements and investigate outstanding items

Assist with month-end close activities including AP accruals and reconciliations

Support 1099 preparation and reporting as needed

Collaborate with purchasing, operations, and accounting teams to ensure accurate financial reporting

Maintain organized documentation and support audit requests

Requirements

Qualifications

2+ years of accounts payable experience in a high-volume environment

Strong understanding of invoice processing, 3-way matching, and payment cycles

Proficiency in Excel (pivot tables, VLOOKUPs a plus)

Experience with ERP/accounting systems (NetSuite, SAP, Oracle, QuickBooks, etc.)

Excellent attention to detail and organizational skills

Strong communication skills with the ability to interact with vendors and internal teams

Ability to prioritize tasks and meet deadlines in a fast-paced environment
