Summary
The Senior Marketing Proposal Coordinator leads the strategy, development, and production of high-quality proposals, qualifications, and marketing materials that position Kraus-Anderson Construction Company (the Company) for the successful pursuit of complex and high-value business opportunities. Leveraging advanced experience, this role manages a high volume of proposals and oversees all aspects of proposal content creation, formatting, scheduling, and compliance, while upholding the Company's branding standards, proposal processes, and market positioning.
The Senior Marketing Proposal Coordinator collaborates with business development, operations leadership, construction executives, project managers, and technical experts to gather, synthesize, and present information in compelling, client-focused submissions. This position manages multiple proposal schedules, confirms the timely delivery of accurate and polished materials, and drives the continuous improvement of proposal strategies, processes, and best practices.
Essential Duties and Responsibilities
Proposal & Content Leadership
Leads the strategy, development, and production of complex proposals, qualifications, and marketing materials, applying advanced knowledge of brand standards, layout best practices, and AEC formatting norms.
Oversees the quality, accuracy, clarity, and compliance of all proposal content, including executive summaries, resumes, project sheets, technical narratives, and supporting documentation.
Crafts persuasive, client-focused narrative elements with minimal oversight, tailoring messaging to address client needs, project goals, and key differentiators.
Translates highly technical content into clear, compelling language and graphics, collaborating with subject matter experts and the project team to accurately represent project approaches and solutions.
Develops, maintains, and refines proposal templates, boilerplate content, and graphics to drive consistency, efficiency, and continuous improvement in proposal production.
Reviews, edits, and polishes content for grammar, style, and alignment with company voice and branding, serving as a final quality control checkpoint.
Manages and prioritizes multiple proposal schedules, deadlines, and deliverables, proactively communicating progress, identifying risks, and resolving challenges to ensure timely submission of requirements.
Directs the assembly, production, and delivery of final proposal documents, both digital and print, confirming all materials are complete, compliant, and professionally presented.
Leads post-submission reviews to identify lessons learned and implement process improvements.
Industry Knowledge & Market Positioning
Demonstrates expert knowledge of AEC industry terminology, project delivery methods (including CMaR, design-build, and general contracting), and evolving client expectations.
Conducts in-depth research and analysis of client, market, and competitor information to inform proposal strategy, content development, and win themes.
Articulates and advances how Kraus-Anderson differentiates itself within key markets and office locations, supporting strategic positioning in both written and visual materials.
Monitors industry trends, best practices, and emerging technologies to enhance proposal quality, effectiveness, and innovation.
Advises internal teams on market positioning and proposal strategy based on research and industry insights.
Collaboration & Leadership
Serves as a primary liaison between business development, operations leadership, construction executives, project managers, technical staff, and subject matter experts to gather, synthesize, and validate information for proposals.
Builds and sustains trust and positive working relationships across marketing, business development, and operations teams, fostering a collaborative and high-performing proposal environment.
Leads go/no-go meetings, proposal kickoff meetings, strategy sessions, and debriefs, documenting actionable takeaways and driving continuous improvement.
Provides guidance, mentorship, and training to junior proposal staff, sharing best practices and supporting professional development.
Facilitates cross-functional collaboration to develop innovative solutions and compelling proposal content.
Data, Tools & Systems Leadership
Oversees the management of data and reporting in Unanet CRM, OpenAsset, and Joist AI, demonstrating advanced proficiency in these platforms for tracking pursuits, updating project information, and maintaining marketing assets.
Utilizes Microsoft 365 tools, Adobe Acrobat, and AI tools (Joist AI/ChatGPT/Gemini) for advanced collaboration, research, formatting, and process optimization.
Produces polished, visually engaging materials using Adobe Creative Suite (primarily InDesign), including custom graphics, charts, infographics, and other visual assets.
Maintains and improves organized digital files and records of proposals, templates, and marketing collateral for efficient retrieval and future use.
Identifies and implements process improvements and technology solutions to enhance proposal development and production workflows.
Performs other duties as assigned.
Required Knowledge, Skills and Abilities:
Bachelor's degree in marketing, business development, or a similar field, or equivalent with five plus years related experience and/or training; or equivalent combination of education and experience.
Demonstrated computer proficiency in word processing, spreadsheet, presentation, database, and marketing-related software.
Demonstrated computer proficiency (MS Office 365 - Word, PowerPoint, Excel, and Outlook)
Excellent verbal and written communication skills, including the ability to effectively communicate with internal and external customers.
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or government regulations.
Ability to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
Ability to work in a collaborative team environment.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
Ability to use time productively, maximize efficiency, and meet challenging work goals; takes responsibility and is accountable for one's own performance; learns from prior experiences and adjusts performance accordingly.

Preferred Knowledge, Skills and Abilities:
Knowledge of the construction industry is helpful.
Other:
Valid Driver's License and ability to maintain a satisfactory Motor Vehicle Record.
Travel (less than 5%, as needed).

Salary Range: $85,000 to $85,000 annually plus discretionary incentive program.
While the range listed represents the anticipated hiring range for this position, offers at the upper end of the range are uncommon. Pay is based on many factors including but not limited to education, skill, experience, training, certifications, and other business needs.
