Job Description What is the opportunity? We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support the Chief Compliance Officer (CCO) and the broader Compliance department within the U.S. Wealth Management division. The successful candidate will play a critical role in ensuring the efficient day-to-day operations of the Compliance team, providing seamless administrative support to Compliance Directors, Managers, and other department members. What will you do? Executive Assistant Support Manage calendars, including scheduling meetings, resolving conflicts, and coordinating cross-functional appointments. Prepare and edit correspondence, presentations, and reports with a high degree of accuracy. Arrange domestic and international travel (flights, accommodations, itineraries) and process expense reports. Act as a liaison between managers, internal teams, and external stakeholders, handling inquiries with professionalism and confidentiality. Anticipate needs and proactively address issues to streamline workflows. Maintain and update distribution lists to ensure accurate communication channels, manage departmental mailbox correspondence by organizing, prioritizing, and routing inquiries, and handle ad hoc tasks to support efficient workflow and team objectives. Work on adhoc projects when needed with team members Office Management Oversee office operations, including procurement and inventory management of supplies, equipment, and amenities. Coordinate office maintenance, repairs, and vendor relationships (e.g., cleaning, IT, catering). Plan and execute on-site events (e.g., team meetings, client visits, celebrations) and manage logistics (catering, AV setup, seating). Lead new employee onboarding: prepare workstations, coordinate IT setup, and facilitate orientation processes. Act as a key contact for the Chief Compliance Officer (CCO) that you will be supporting. Manage inboxes and calendars for CCO and Compliance leaders to coordinate meeting proposals, action items and delegate inquiries. What do you need to succeed? Must-have Strong written and oral communication skills Highly proficient in Microsoft Office including Word, Powerpoint, Excel, Outlook Demonstrated organizational skills, with the ability to complete projects on time, with accuracy and making the most effective use of available resources Demonstrated ability to work effectively under pressure and meet prescribed deadlines Self-starter, must work independently with minimal supervision Nice-to-have 3-5 years of administrative experience Bachelor's degree preferred, but not required What's in it for you? This salary range does not include other elements of total compensation, including a discretionary bonus and benefits such as a 401(k) program with company-matching contributions; health, dental, vision, life and disability insurance; and paid time-off plan.
